Office management Coordinator

Key Responsibilities:

Job Purpose

Ensure the management of office building, asset, security and event services that promote stewardship, accountability and reliability. Promote excellent internal control environment and cost effectiveness and efficiencies for the organization. Ensure the maintenance, use and recording of organizational assets in accordance with global, local, government policies and are implemented properly, accurately by cooperating with other departments so that assets are protected. Responsible for the use of office buildings and their facilities in accordance with standards and procedures. Ensure cooperation with outsourcing management so that office security is carried out vigilantly and appropriately and planning for building and goods security is efficient and effective

Strategy Development & Planning

Developing/provide the office, security management business process in collaboration with the procurement manager and GS & Logistic Manager to facilitate the acquisition of items at the national office and AP/Project.Responsible for preparing the annual plan for the Office Building, Security and Asset Management team.Ensure the business process of managing office buildings and security together with other units/departments/AP/Project/zone to support services according to standards.Ensure an integrated quarterly and annual planning process for the management of office building, asset, security in National Office,  zonal/AP.Provide guideline, procedure, models and systems to get the most effective general service and logistic activities.

Resource Acquisition & Management/ Engagement/Project Management

Coordinate closely with other departments to arrange the GS and logistics plan and service deliveryLook for opportunity to build strong and strategic relation with External parties and Internal parties (NO/ National/Regional/Global) to leverage income generation.Facilitate and work closely with resource acquisition team providing the technical rigor and using evidence base for proposal development and project activities in the area of office building, asset and security. .Coordinate to all grants, corporate and special funded projects have the technical support and capacity to meet the required and agreed disaster management standards.

Capacity Building/ Technical works

Conduct capacity building plan and talent management strategy for NO and Zonal/AP team to enhance their technical and non-technical skills to support higher performance and career path.Improving the capacity of the logistics team at the national office and AP/project in warehouse techniques and logistics management in accordance with global standards.Ensuring that staf office building, asset and security  understand real estate management, security  and asset management  providing training that suits their needs.Provide technical support to staff in using the corporate system and understanding the information, data and reports for the delivery of good programs.Become SMEs for Cross-Functional Grant/Disaster Management Capacity Training for office building, asset and security aspectCoordinate the assessment and capacity building plan for local partners / Sub-Grantees in the area GS and logisticsProvide technical advice for national team in developing general service & logistic plan, strategy and implementationProvide refresh the competence of security members in alertness to fire and earthquake hazards.

Accountability & Quality Assurance

Manage effective and efficiency office building, asset & security in WVI to align with partnership/donor/policies and standard.Ensure global asset verification of global insurance and real estate) in national office/AP/zone.Provide data management of asset,reconciliation asset, reporting stock opname asset and analytics data.Utilise technology to enable agile planning, streamline processes and boost operational effectiveness across the WVI.Ensure office building, asset, security activities for the emergency preparedness and response by coordinating with Disaster Management Team. Provide insights on the office building, asset and security managementAccountable for supplying accurate, current, and reliable data to support the audit implementation process.Initiate the action technical guidance and insights standart office building, asset, security in AP/Project/zone.Maintain and update risk mapping profiles for office building to minimize risk.Liaise and collaborate closely with Finance team, Procurement/SCM team, programme team and technical sector teamSupport teams of relevant WVI entities (Regional Office, Global Centre, Support Offices) on  business plan.Develop good networking with relevant vendors, government, corporate and partner to improve the contractual arrangementManage the efficiency and effectiveness in the use of building/asset by managing documents, building maintenance and arrangement, as well as cost charging process.Ensure regulatory for alignment to the statutory/local government requirements to comply and monitor the implementation.Develop relationship with community surrounding the office and neighbourhood associationConduct regular reviews on global policies, processes and guidelines (Real estate, asset, security management) to ensure their effectiveness and applicability.Update and coordinate with the Finance and Procurement departments for the required building/asset insurance process and become a point person in making insurance claims (ensuring data is collected, accurate, etc.)

Qualifications

Bachelor’s degree qualification from any major, preferably form business administration.At least 7 years’ experience in general affair, administration, logistic or procurement work, preferably gained in a complex, international organization within the development & humanitarian sector or private sectorProfessional Proficiency in Bahasa Indonesia and EnglishGood working of computerized systemCommunicating information effectivelyExcellent networking and negotiation skills
