Role/Department
This is an office management and administrative role working in a small office in Stockholm with 12 employees together with supporting our branch in Oslo. You will be the “go to “ person in the office and be responsible for the overall function. This role is suited for someone who is proactive, loves service, enjoys a challenge, likes to have several things ongoing at the same time and work in collaboration with staff worldwide. This is an in office based position five days a week.
You will support various projects, such as events, completing reports, business management activities as well as assisting with general commercial tasks and administrative duties.
The key responsibilities of the role include
Point of contact for maintenance, mailing, shipping, supplies, equipment, bills, and errands as necessaryCoordinate with IT department on office equipmentCoordinate with workplace services on management of vendors, service providers, and landlord, ensuring that all items are invoiced and paid on timeProvide general support to office visitorsAssistance in BCP planning (Business continuity planning) for the office.This role is responsible for smooth running of the office by coordinating with workplace services on building management (e.g office supplies, office keys etc)Support staff on various initiatives, projects and power point presentationsAttend team meetings and take minutesHandle SharePoint maintenance and oversightImprove office proceduresEnsures completion of other ad hoc planning and tasks relating to client and team activities, such as offsites, talent sessions and strategy forumsAccurate file management, Invoice processing,Diary management and travel arrangements for the Country Manager of the officeAt times provide support to the Country Manager on reporting of organizational development metrics, KPI’s and financials to the management team.Skills
Excellent communication (oral & written), listening, analytical, and problem solving skills.Technical skills and interested in finding new ways of working by using new tools such as Microsoft 365 and co-pilotHighly service oriented and a “can do” attitudeSkills in delegation, decision making, negotiation and leadership to service the key stakeholders.Highly flexible and adaptable to change.Experience
Past role in project co-ordination is favourable.Experience in having worked for a global organisation, preferably finance or professional services is favourable.Strong organisational, project management and executive skills along with an ability to prioritise and drive multiple initiatives and activities.A proven ability to coordinate across multiple stakeholders both internally and externally.Exceptional communication and interpersonal skills.Working with Us:
