Kiliuda Consulting, LLC, a subsidiary of Three Saints Bay, LLC, and a Federal Government Contractor industry leader, is seeking an Office Management Specialist to support our government client in Arlington, VA.
Position Responsibilities:
Schedule appointments, coordinates meetings and conferences for the Program Management team to include maintaining an Outlook calendar. The contractor shall coordinate Program meetings and maintain the Program Manager’s calendar and schedule. Responsible for scheduling of Program’s conference room. Prepare materials, as necessary, for Program Manager internal and inter-agency meeting. Serve as the travel coordinator for the Program staff. As the coordinator, the contractor shall ensure that requests are input in the internal system in a timely fashion, visa requests are prepared and dropped off in time to allow sufficient processing time, and vouchers are processed within five working days after travel. If denoted by the terms of the contract, the contractor shall have a TIA office vehicle available to facilitate dropping off and picking up visas; and therefore, must have a valid state or District of Columbia driver’s license. Maintain and perform briefings regarding the security requirements for working in Program’s CAA and the hand- ling and destruction of classified materials. Research and draft responses to a variety of taskers, from both within and outside the TIA Directorate, to include congressional taskers. Assist, as needed, in the processing of incoming and outgoing materials, correspondence, reports, memoranda, and other forms of written communication (to include budget, quarterly reports, congressional requests, FOIA requests, etc). Maintain a tracking system for taskers and the Program’s status and response to all official correspondences. The contractor shall maintain and update the Program’s SharePoint site on a routine basis. Produce and update a directory listing of all current Program staff. Assist Program Management in evaluating equipment and computer needs to outfit work spaces. This may include tracking the life cycle of existing systems/equipment in order to establish replacement cycles. Act as a back-up to the Program’s logistics coordinator in monitoring and tracking property and inventory for Pro- gram, including compiling reports for DS. When required, liaises with other offices to ensure all equipment such as computers, copiers, fax and scanners are in working order. Assist area Custodian Officers in inventory management activities and daily access within the CAA. The contractor shall serve as Program’s time and attendance (T&A) representative, preparing bi-weekly T&A reports. Perform administrative duties, including orders for office supplies, as the office management specialist for Program. Act as a back-up to the Program’s logistics coordinator in updating and maintaining the vehicle logs on a monthly basis; coordinating maintenance of vehicles, parking placards, exchanging vehicles as needed or at the end of their life cycle, etc.Perform other duties as assigned.
Position Requirements:
Strong writing skills in order to write or edit policy, reports, letters, justifications and other documents with recommendations for management programs, policies and activities. Ability to work in a fast-paced environment to meet deadlines and handle pressure situations is a must The contractor shall be proficient with Microsoft Word, Microsoft Office, basic Excel and PowerPoint skills; MS Project experience a plus. Excellent written and oral communications skills, and the ability to interact with individuals at all levels. Excellent organizational skills, attention to detail, and the ability to work independently and as a member of the team. Associate's degree and 2+ years of specialized office experience preferred. Degree not required with High School diploma or GED equivalent and five years of specialized administrative experience. Specialized experience includes office management, suspense tracking, review of executive level correspondence, database administration, financial and project status tracking and reporting, monthly reports, and maintaining operating procedures. Extensive knowledge of electronic database operations management, administrative and correspondence processing procedures, and understanding of procedures required for processing actions for review, approval, and release.Position located in: Arlington, VA
