Office Management Specialist
Location: Rosslyn, VA. Regular business hours, Monday through Friday, with the ability to work up to 40% remote after onboarding.

Overview:

IntelliBridge is an award-winning national security company looking for an Office Management Specialist to support a federal law enforcement client’s Open Source Intelligence Program focused on detecting threats to specific people, locations, and events. In this role, you will enhance the efficiency and coordination of a 24x7 Watch, ensuring seamless administrative and operational support across four watch shifts. Your work will involve close collaboration with the Watch Commander, multiple shift teams, and the Office Coordinator to manage day-to-day logistics, coordinate schedules, maintain records, and support essential operations in a fast-paced, mission-critical environment. The work schedule will be regular business hours, Monday through Friday, with the ability to work up to 40% remote after onboarding.

Responsibilities/Duties:   

Administrative Support: Provide comprehensive administrative support to the Watch Commander and the watch teams, managing correspondence, preparing reports, and maintaining accurate records of watch activities.Meeting Coordination: Schedule and coordinate meetings, briefings, and conference calls for the Watch Commander and the watch teams, including preparing necessary materials and managing meeting logistics.Collaboration: Regularly coordinate and collaborate with the Office Coordinator to ensure seamless administrative support, consistent resource allocation, and alignment of office-wide procedures across the 24x7 watch and broader office operations.Shift Coordination: Assist with scheduling and shift operations for the 24x7 watch, ensuring smooth transitions between the 4 watch shifts and consistent communication between teams.Documentation & Reporting: Maintain detailed documentation of shift reports, incident logs, and briefings, ensuring timely submission of all relevant reports to the Watch Commander and leadership.Resource Management: Ensure the availability and readiness of office supplies, equipment, and other resources critical to the operation of the watch shifts.Timekeeping & Attendance: Support the tracking of attendance, management of timekeeping records, and processing of leave requests for watch personnel, ensuring adherence to scheduling policies.Liaison & Communication: Act as the central point of contact for all internal and external communications related to watch operations, ensuring accurate and timely dissemination of information to relevant stakeholders.Operational Efficiency: Continuously identify and implement improvements to office procedures and processes to enhance the overall efficiency of the watch operations.Confidentiality & Security: Ensure the confidentiality of sensitive information and compliance with security protocols in all aspects of the role.

Required Qualifications:

Bachelor’s Degree and at least 4 years of relevant experience or 8+ years of relevant experience without a degree. Previous experience in an office management, administrative support, or operational support role.Strong organizational and multitasking skills, with the ability to prioritize tasks and manage time effectively.Excellent written and verbal communication skills, with the ability to interact professionally with diverse teams across multiple shifts.Strong attention to detail, particularly in managing documentation, records, and scheduling tasks.Ability to work in a dynamic environment with flexibility to support changes in operational requirements.Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant office management software.Strong interpersonal and diplomatic skills, with the ability to interact effectively and professionally with individuals at all levels.Proven ability to meet deadlines while managing competing priorities and delivering high-quality products under time constraints.A self-motivated individual eager to contribute, learn, and exceed customer expectations through their work.

Preferred Qualifications: 

Experience supporting 24x7 watch operations or mission-critical environments.Familiarity with timekeeping systems, shift scheduling, and operational logistics.Diplomatic Security or Department of State experience.
