We are looking for a highly organized and self-motivated Office Manager to oversee the day-to-day operations of our office. This role is ideal for someone who thrives in a dynamic environment, takes initiative, and can independently manage a wide range of administrative and operational tasks to keep the office running smoothly.

Responsibilities:

Manage the daily operations of the office, ensuring a clean, organized, and well-stocked workspace

Serve as the primary point of contact for all office-related needs, including facilities, equipment, and supplies

Coordinate with vendors, service providers, and building management for maintenance, deliveries, and office services

Manage the reception area, including phone calls and emails.

Handle incoming mail, packages, and deliveries and manage outgoing shipments as needed

Manage the responsibility with Dubai Multi Commodities Centre (DMCC) which includes company related government transactions, visa applications, cancellations and renewals, employment contracts, license renewal, portal updates and up-to-date company's records.

Handle and support bookkeeping procedures for office expenses, preparing weekly and monthly reports for the management, filing documents for further submission for audit.

Ensure all office contracts, insurances, and legal documents are up to date and filed correctly

Assist with organizing internal events, meetings, and team activities

Support onboarding of new employees by preparing workstations, access badges, and welcome materials

Maintain office policies and procedures and ensure compliance across the organization

Provide administrative support to leadership and departments as needed (e.g., scheduling, data entry, document management)

Coordinate logistics for office supplies, IT equipment, courier services and facility-related issues.

Requirements:

Bachelor’s degree in business administration, Human Resources, or a related field.

Proven experience in administrative roles, with exposure to HR tasks being a plus.

5 years experience with visa processing procedures and knowledge of labor laws and regulations and great knowledge of the Dubai Multi Commodities Centre (DMCC).

Excellent written and verbal communication skills.

Strong organizational and time management abilities.

Familiarity with office management procedures and Proficiency in MS Office

Ability to work independently, manage multiple tasks simultaneously, and meet deadlines.

Flexibility to adapt to changing priorities and handle confidential information with discretion.

Problem-solver with a proactive, can-do attitude
