Office Manager
Description We are looking for an experienced Office Manager to join our team in Saint Paul, Minnesota. In this long-term contract role, you will play a pivotal part in ensuring the smooth day-to-day operation of the office while supporting staff and volunteers with administrative and logistical needs. This position requires strong organizational skills, attention to detail, and the ability to handle multiple tasks effectively. Responsibilities: • Coordinate office operations, including managing office supplies and maintaining workspace efficiency. • Assist with scheduling meetings, reserving meeting spaces, and researching venue options with cost estimates for events. • Collaborate with venue contacts to gather and present necessary information to decision-makers. • Support data management efforts, including data entry and generating database reports. • Provide guidance on using technology tools such as Google Calendar, Google Drive, and Gmail. • Facilitate onboarding tasks by collecting I-9 information and reviewing personnel policies with new hires. • Prepare printed materials, assemble packages or folders, and handle event-related orders for food and supplies. • Transport supplies or assist with pick-ups as needed to support staff and volunteers. • Handle financial tasks such as scanning and redacting checks, and working with the accountant to prepare deposit slips. • Assist staff and volunteers with travel logistics, including booking flights and processing payments. Requirements • Proficiency in CRM tools and office software such as Google Workspace and Microsoft 365. • Strong skills in answering, routing, and managing inbound calls effectively. • Ability to sort, distribute, and manage incoming mail efficiently. • Experience in coordinating schedules and organizing catering for events. • Familiarity with human resources administration, including onboarding processes. • Skilled in data entry and generating accurate reports. • Capable of managing logistics and providing support for event planning and execution. • Excellent organizational and communication skills to handle diverse tasks and priorities.
