The Office Manager plays an important role in ensuring the efficient and smooth operation of our office spaces. This position is responsible for providing support to employees, managing office resources, coordinating office events, and fostering a positive workplace experience. The Office Manager is a central point of contact for various administrative needs and contributes to creating a productive and pleasant work environment.


How your day-to-day looks like:
1. Office Operations:
Manage day-to-day office operations, ensuring a clean, organized, and well- maintained workspace.
Cooperate with the Facility Team for ordering office supplies, furniture, and equipment as needed.
Coordinate office maintenance and repairs, liaising with facilities management and vendors.
Maintaining a clean and organized office environment by supervising and managing the work of cleaning ladies.
2. Employee Support:
Act as the first point of contact for employee inquiries and requests related to office services.
Assist with onboarding processes for new employees, including workspace setup and orientation.
3. Office Supply:

Monitor inventory levels and restock supplies as needed to ensure availability.
Coordinate with vendors and negotiate contracts for the supply of office items.
Keep track of expenses related to office supplies and report to management.
4. Lunches management:
Coordinate and manage lunch orders for employees, ensuring timely delivery.
Budget and track expenses related to lunch management to optimize costs.
Solicit employee feedback to assess satisfaction and make improvements.
5. Service Desk:
Review incoming requests to the Service Desk and assign OM related tasks to the responsible team members.
Manage and oversee the implementation of Office Manager (OM) related tasks, ensuring they are completed in a timely manner.
Provide prompt and informative feedback to the requester regarding the status and progress of their requests.
6. Office Events and Activities:
Plan and organize office events, celebrations, and team-building activities to enhance employee engagement.
Coordinate catering, decorations, and logistics for meetings and events.
7. Workplace Experience:
Support initiatives to create a positive and productive workplace experience for employees.
Gather feedback from employees and propose improvements to office facilities and services.
8. Budget and Expenses:
Assist in budget planning and monitoring of office-related expenses.
Review and process invoices, track expenditures, and maintain financial records.
Collaborate with vendors to negotiate contracts and ensure cost-effectiveness.
9. Documentation and Policies:

Ensure compliance with company policies and procedures related to office management.
Maintain accurate records and documentation for office-related activities.
10. Business Continuity Plan
Collaborate with the BCP team to integrate OM-related actions into the plan.
Facilitate training and maintain communication channels for emergency readiness.
Monitor and address gaps in OM-related aspects of the BCP, ensuring alignment with changing business needs and regulations.


Requirements
●Proven experience in Office Management, administrative support, or related roles.
●Strong organizational and multitasking abilities.
●Excellent communication and interpersonal skills.
●Proficient in English (Upper Intermediate or higher).
●Proficiency in using office software and equipment. Nice to have experience in Asana, Slack, Confluence
●Attention to detail and problem-solving skills.
●Ability to work independently and as part of a team.
●Customer service-oriented mindset.
●Adaptability and a willingness to take initiative.
