Office Manager

We are currently looking for an Office Manager based on-site in Jamaica, NY. This is a great opportunity to join our team.

Responsibilities:

Create a welcoming atmosphere for all guests and employees and handle all incoming communication with professionalism. 

Ensure the smooth operation of the office by overseeing administrative tasks, managing supplies, coordinating conference room and visitor schedules. 

Oversee facilities management for office including managing all third-party vendors servicing the office and our on-call facilities management contractor.

Work with finance to establish and maintain office operations budget

Liaise between the NTO and PMO offices for visitor requests: coordinate office and construction site visits for the company, stakeholders, etc.  

Maintain safety and security of the office by monitoring the visitor logbook and issuing visitor badges with accurate recordkeeping.  

Organize and replenish the various office areas such as the kitchen and supply closets while complying with office procedures, rules, and regulations. 

Maintain and submit up to date records of office supply inventory and expenses with receipts.  

Receive office deliveries and ensure all mail and packages are distributed accordingly to staff. 

Oversee the cleanliness and preparedness of the office and leasehold spaces through the cleaning staff.  

Receive and set up incoming deliveries for office food deliveries such as fruit and weekly office lunch.

Qualifications:

Bachelor's degree in business administration, office management, or related field preferred. Equivalent work experience may be considered in lieu of formal education.

5+ years of experience in office administration, administrative support, or office management roles, preferably in a fast-paced related industry such as real estate, construction, architecture or professional services.

While not required, certification as a Certified Administrative Professional (CAP) or Certified Office Manager (COM) is preferred.

Proficient in Microsoft Office, fluent in the use of Microsoft Excel is required.

Strong working knowledge of Adobe Suite.

The ideal candidate will be a proactive, highly organized professional with an inviting demeanor and exceptional multitasking skills.

Solid background in administrative duties coupled with a strong commitment to creating a positive and efficient workplace.
