The Tokyo Office Manager will play a key role in creating and maintaining a pleasant work environment for office-based staff, ensuring high levels of organizational effectiveness, communication, and safety. This position will be based in Tokyo and will report into the Director of Finance & Administration, Japan.
A typical day in this role, might include:Maintain relationships with key vendors, service providers, and landlordSupport vendor set-up and onboarding including the signing of statements of work and confidentiality agreementsPartner with Human Resources to support the new-hire/employee onboarding/offboarding processesEnsure that all employees have an appropriate work environment to undertake their duties in the office and/or at home as neededSupport the office supply needs of staff by ordering and organizing office supplies, handling inventories, and ensuring compliance with company policiesLiaise with the Environmental Health & Safety team to review, update, and implement health and safety policies; Acts as the Tokyo office First Aid & Fire Safety representativeHandle procedures for the retention, protection, retrieval, transfer, and disposal of recordsSupport the IT department with tasks and projects related to the Tokyo officeProvide support for Facility-related projects including those related to office layout, office refurbishments, office moves, etc.Partner with the Corporate Communications team by acting as key point of contact for the Tokyo Office; Support digital communications by keeping the Tokyo Intranet page up to dateThis role might be for you if you have:Organize town halls, team-building events, socials, and site visitsRequires high-school diploma, with further education preferred, and a minimum of 3-5 years of experience in a similar role, preferably with a large, multinational companyDetail-oriented, flexible, helpful, proative, and courteousSelf-motivated with ability to perform work with modest level of supervision, handle/prioritize multiple tasks, and support multiple stakeholdersEffective communication skills, both verbal and written, necessary for daily interaction with managementTechnical proficiency in computer and phone systems (e.g., iPhone, MS PowerPoint, Outlook, Excel, Word, SharePoint, Teams, etc.)Japanese/English fluency is necessaryDoes this sound like you?
