Under general supervision, the Office Manager supports the entire company by being the “face” of the company for all visitors and customer phone inquiries and will undertake all receptionist and clerical duties at the main entrance desk. This position also helps ensure the financial health of the company by maintaining accurate financial records and supports the financial decisions of the company by completing the financial work accurately, consistently, and efficiently.\n\nOffice Manager\n•\tGreet and welcome guests as they arrive.\n•\tKeep front desk and conference room tidy and presentable with all necessary material (pens, forms, \npaper etc.).\n•\tScreen/check in and out guest/visitors through our ITAR compliance system.\n•\tAnswer guest questions and address complaints as needed.\n•\tProfessionally and in a timely manner, answer incoming calls and direct appropriately.\n•\tEnter employee confidential data.\n•\tManage payroll and workshare data entry.\n•\tProcess insurance changes including enrollments, changes, and terminations.\n•\tMaintain employee files including periodic audits.\n•\tAssist with hiring and employee onboarding/new hire orientation.\n•\tAssist with the oversight of ensuring safety requirements are adhered to.\n•\tAdminister insurance plans including the Open Enrollment process.\n•\tCoordinate with HR consulting firm regarding employee documentation.\n•\tTake on any special projects as assigned by your manager.\n•\tOther duties as assigned.\nBookkeeper / HR\n•\tManage and maintain company’s accounts payable platform.\n•\tComplete payments by receiving, processing, verifying, and reconciling invoices.\n•\tKeep track and pay vendors by monitoring discount opportunities, verifying federal id numbers, scheduling and preparing checks, and resolving purchase order, contract, invoice, or payment discrepancies and documentation.\n•\tReceive and verify employee expense reports in ERP system for payment.\n•\tEnsure credits are received for outstanding memos.\n•\tProcess incoming and outgoing mail and distribute mail to appropriate area.\n•\tScan incoming vendor bills into the system.\n•\tResponsible for responding to all vendor inquiries regarding finance, escalate when needed.\n•\tGenerate an excel report for scheduling vendor payments each week and send for approval.\n•\tReconciles processed work by verifying entries and comparing system reports to balances.\n•\tVerifies vendor accounts by reconciling monthly statements and related transactions.\n•\tMaintains accounting ledgers by verifying and posting account transactions.

•\tFoster positive communications and relationships with all employees, members of management, vendors and clients.\n•\tRemain current on new accounting trends and updated methods of financial record keeping.\n•\tKeep up to date on industry trends and developments.\n•\tStay abreast of current industry technology, trends and knowledge and provide to the Company by sharing this information with the Company.\n•\tAdhere to company policies and procedures.\n•\tActively participate in and conduct meetings as requested.\n\n•\tAssociate degree in accounting or equivalent combination of education and experience; plus a minimum of 5 years experience in a bookkeeping/accounting position. \n•\tERP System experience required.\n•\tMust maintain strict confidentiality.\n•\tGood verbal and written communication skills including being self aware and possessing good listening skills.\n•\tAbility to work with all levels of the organization as well as customers and vendors while fostering positive relationships.\n•\tExcellent time management and prioritization skills that can effectively organize information, tasks, and events.\n•\tProficient skill level in computer software including ERP Systems (Made2Manage preferred) and intermediate to advanced experience in Word, Excel, Outlook, and all MS Office Suite-all versions. \n•\tKnowledge of administrative and clerical procedures such as word processing, managing files and records and designing forms.\n•\tDetail oriented and self-motivated, able to work with limited supervision and to work closely with a team.\n•\tReliable transportation to run errands and make bank deposits as requested.

Pay and Benefits

The pay range for this position is $23.00 - $29.00
