We are looking for an Office Manager. BrandSafway offers a competitive benefits package that includes medical, dental, vision, life and disability insurance as well as a generous group RRSP plan. **Key Responsibilities** + Supervise and coordinate time processing activities to ensure the accurate and timely payment for all time worked + Supervise and coordinate billing activity to provide accurate and timely invoicing and reporting to customers including but not limited to labor services, rental, and third-party consumables; + Supervise a team of accounts payable coordinators that are responsible for accounts payable invoice verification, payment authorization and processing and ensure quality accounting entry of source documents on time + Setup jobs and contracts within the billing system prior to the start of a job; + Ensure all costs and revenue are accounted for from start to end of contracts; + Ensure customer administrative requirements are met; + Support project managers and field supervision; + Handle all processes related to customer master setup, project structure setup and maintenance; + Maintains contract information (i.e., pricing, billing parameters); + Liaise with internal and external customers in a professional manner; + Complete monthly accruals to be sent to corresponding finance manager in a timely and accurate manner; + Monitor and analyze contract results; + Assist with month end close process; + Understand Collective agreements and provide guidance to administrative team; + Perform reconciliations and identify discrepancies; + Troubleshoot processes to identify errors and improvement opportunities; + Manage cross-training of administrative team to ensure adequate backup coverage is available. **Qualifications** + Requires education generally equivalent to an Associate degree in Business Administration. It is desirable for the incumbent to have attained additional business-related education, such as a Bachelor’s Degree in Business; + Requires 5 years of office administrative experience with previous supervisory experience; + Ability to lead a team and build a positive team environment; + It is desirable for the incumbent to have previous experience in the construction industry; + Excellent oral and written communication, skills to effectively communicate with employees, customers, and personnel at other branch offices and headquarters; + Ability to process complex time sensitive data and information from multiple sources, make decisions based on this data, and to effectively communicate the related required actions to customers and team members; + Requires the ability to present a professional image and to encourage team members to do the same. + Knowledge of billing, purchasing and payroll systems is considered an asset; + Experience with union contracts preferred; + Intermediate working knowledge of Microsoft Office including Excel and Word; + Strong time management and organization skills to meet various competing deadlines; + Ability to adapt to an ever-changing work environment with competing demands; + Ability to display sound and accurate judgement with the ability to resolve problems in a timely manner + Preference will be given to bilingual candidates with French as the first official language. **About Us** BrandSafway is a leading global provider of access, specialized services, and forming and shoring solutions to the industrial, commercial and infrastructure markets.
