Office Manager
Description We are on the hunt for a skilled Office Manager to join our team in Farmers Branch, Texas, 75234. In this role, you will oversee office operations, ensure consistency and efficiency across all administrative processes, and serve as the main point of contact for office vendors. Your responsibilities will also include maintaining office supplies inventory, managing office equipment, and providing administrative support to the executive team. Responsibilities: • Coordinate office administration and procedures to uphold organizational effectiveness • Handle contracts and negotiations with office vendors and service providers, including cleaning, trash, landscaping, catering, and security services • Anticipate office needs, evaluate new office products, and maintain office supplies inventory • Oversee the condition of the office, report maintenance needs, and arrange necessary repairs • Manage the office budget and control costs • Implement and maintain an efficient filing system, ensuring compliance with file retention policies • Welcome visitors and provide them with general support • Direct incoming calls and manage mail • Streamline document storage and generation SOPs for consistency and accuracy • Provide administrative assistance to the executive team, including writing and editing correspondence, preparing reports and presentations, and coordinating meetings, appointments, and travel arrangements • Facilitate Board meetings, including preparing and distributing Board agenda and packets, capturing notes for minutes, and coordinating venue and catering • Support the onboarding and offboarding process for Members and Suppliers, and maintain the Member and Supplier directory database and email distribution lists • Assist with accounting functions, including accounts payable and receivable, and manage financial services using ADP, Concur, and other accounting software systems • Handle customer service tasks, such as answering inbound calls and processing customer credit applications • Provide administrative support to other departments as required. Requirements • Proficiency in Accounting Software Systems is necessary. • Experience with ADP - Financial Services is required. • Must be comfortable working with Concur. • Familiarity with CRM is essential. • Knowledge of Dentrix Dental Software is a plus. • Prior experience with About Time is preferred. • Ability to handle Accounting Functions efficiently. • Must be able to manage Accounts Payable (AP). • Experience in handling Accounts Receivable (AR) is required. • Comfortable with Answering Inbound Calls.
