Office Manager

We are seeking an Administrative Assistant & Office Manager to support our team, reporting into the Vice President, Finance & Strategy.  Your role will involve effectively managing Ashcor’s day-to-day administrative requirements independently and through the application of sound knowledge of the business, strong technical skills and good judgement. Administrative support will be provided to all members (including the executive) of the Ashcor team. 

 

The position is based in Calgary, Alberta. 

 

What Else You Get To Do: 

Utilize a strong understanding of the companies’ priorities to maintain office reception, manage incoming physical mail, e-mail, telephone messages, and refer inquiries from internal and external parties  Implement and maintain a disciplined record management system (OneDrive & SharePoint) through application of strong confidentiality and organizational skills  Schedule meetings and coordinate necessary preparations, including booking and preparing rooms, meeting material preparation, ordering food/catering and assist team & executive with necessary travel arrangements Generate various communications (memos, emails, letters, reports, presentations), and analysis through the application of well-developed skills in Adobe, Excel, PowerPoint and Word Process of invoices, expense reports, timekeeper records, project allocation schedules, parking assignments, etc. Liaise with property management on tenant matters, including building maintenance, safety, service requests, parking, etc. Establish and maintain positive, productive working relationships with both internal and external parties, facilitating a positive corporate image, build morale and support co-operation Anticipate the teams’ needs proactively to contribute to an organized work environment

 

Who You Are: 

Related post-secondary education (undergraduate degree, technical diploma or degree) in Business Administration 5 + years of relevant experience in office administration, business administration or team administrative support Advanced professional interpersonal skills and experience interacting with all levels within a company and with external customers Exceptional organizational, written and verbal communication skills Independent and conscientious self-starter who enjoys working in a team environment Highly motivated, with a demonstrated passion for excellence and taking initiative Strong work ethic, willing to do what it takes to get the job done right the first time High level of proficiency with Outlook, Microsoft Office Suite, Adobe & SharePoint Adept at using strong discretion and good judgement in handling highly sensitive or confidential information
