Exciting Opportunity: Office Manager!
Are you ready to take on a dynamic and multifaceted role where no two days are the same? As an Office Manager, you'll be at the heart of the organization, playing a pivotal role in office operations, team coordination, and client relations. Key Responsibilities:
Office Management: Serve as the primary liaison between the company and building management. You'll be responsible for ordering office supplies, greeting visitors, answering calls, and managing the executive suite, including conference rooms, the supply room, and the lunchroom.
Administrative Support: Keep everything running smoothly by managing calendars and scheduling for investment professionals. Coordinate travel arrangements, review expense reports, and assist with planning meetings and events. You'll also maintain essential company documents such as the employee roster and payroll calendar while overseeing email communication and datasites.
Marketing Support: Help coordinate exciting events and assist with database management and travel arrangements to support the firm's marketing efforts.
Annual Meetings & Events: Play a key role in planning and executing the firm's annual meetings and other major events, liaising with venues and participants to ensure seamless coordination.
Accounts Payable: Oversee the accounts payable process from invoice procurement to approval and payment initiation-your attention to detail will ensure everything stays on track.
Banking & Transactions: Work with the company's online banking system to initiate wire and ACH transactions-help us keep our financials organized and efficient.
Investor Relations: Manage the primary reporting portal, maintain a master list of users, and generate key reports for investors-your organizational skills will be crucial here!
Payroll: Record employee hours, process expense reports, and handle HSA payments-ensure smooth payroll operations for the team.
Compliance: Assist in generating important reports for the Chief Compliance Officer, including restricted securities, website/social media archiving, and IT-related reports.
Information Technology: Act as the liaison to the third-party management system provider, submitting maintenance and service requests to keep systems running smoothly.
New Employee Onboarding: Help new hires feel at home by distributing important company information, creating CRM and travel profiles, and ensuring they have everything they need to succeed.
Skills & Qualifications:
A service-oriented mindset and a passion for supporting a team.Proficiency in Microsoft Office, Quickbooks, SAP Concur Travel, Salesforce, and other office tools-plus a knack for quickly learning new systems.Outstanding verbal and written communication skills.Excellent problem-solving abilities and strong decision-making skills.Detail-oriented and highly organized, with the ability to juggle multiple tasks, prioritize, and adapt to frequent changes.Every day brings new challenges and opportunities to make a meaningful impact.
