Office Manager/Business Manager

Purpose:

The role is responsible for the Poland office management and execution of business operation processes, communication and support for go to market activities with customer events, webinars and conferences. Supporting employees with communication with customers and external authorities, travel, expense and asset management. 

The role covers administration, operations, communication and coordination aspects of ERM business operations in Poland, liaising with internal and external stakeholders.

Responsibilities:

Being the first point of contact and for customers, colleagues and visitors to Polish office.Managing emails, letters, packages, phone calls and other forms of correspondence Managing all kinds of documentation from vendor contracts, customer contracts, NDAs, PoAsSupporting the Country Manager, Team Lead and Consultants with go to market and business development activities, organizing meetings, conferences, webinars, customer events and amplifying ERM brand in PolandLiaising with IT, finance and external vendors for office facilities and asset management, ordering laptops and mobile phones and managing inventory Collaborating with company representation (board members and leadership team) and operations related authorities (KRS) with the support of internal and external legal teamExecuting special projects improving Poland operationsEnsuring a good flow in operating the documents which attest the receipt and the submission of consumables, with issuing invoices and other fiscal documents and with ensuring that these documents are elaborated according to the legal procedures.Organizing and managing internal employee events, holiday celebrations, offsites and all hands meetingsSupporting finance with bookkeeping and budgeting procedure, serving as second hand authorization for invoice paymentsEstablishing and maintaining office files and activity logsAssisting employees with travel booking and liaising with local hotels and events providersBeing the first point of contact and designated person to manage third party communication

Requirements:

Min. 5 years of experience in business management and office operations, communications, events management, vendor and contract managementStrong communications and collaboration skillsFluent in Polish and EnglishWhile remote work is possible, this role requires in-office presence at least 4 days per weekProactive and very strong in self-organizing, managing priorities and timeExperience in vendor contract negotiations and management is highly desirable
