Purpose Ensure the smooth and efficient operation of office services for assigned office. Responsibilities Leadership and Direction Receive broad guidance from senior-level management relating to overall key objectives, critical issues, new concepts, and policy matters and general parameters for execution. Manage people and processes to ensure effective execution. Review work produced by staff for quality assurance. At the Operational and Company Level Serve as liaison to Human Resources, Finance and Marketing Departments. Provide administrative support to the Branch Manager and others, as assigned. In coordination with corporate accounting department, support office/business unit financial objectives through review and tracking of vendor and/or client invoices to ensure timely processing and payment. May assist in requesting or preparing reports for office/business unit leadership. Plan, direct and coordinate administrative services for the office including facilities management, office equipment, mail distribution system, and phone system. Do the Work Oversee the maintenance of all office equipment in branch facility so functionality is always maintained. Initiate, negotiate, and establish relationships with property management and vendors who service the building and equipment. Manage the reception area to ensure effective telephone and mail communications both internally and externally. Organize and maintain an office filing system. Update mailing lists and contact databases. Serve as liaison to Human Resources Department for people and paperwork processes. Serve as liaison to Finance Department for certain accounting processes. Serve as liaison to Marketing Department for certain paperwork processes. Manage administrative support staff. Success Metrics and Competencies Ability to effectively communicate with all levels of the organization and external partners. High degree of discretion and ability to manage highly confidential information. Strong sense of urgency in responding to constituents. Self-reliance and ability to operate independently with limited direction. Effective working relationship with internal leaders and peers, as well as external clients. Ability to effectively manage multiple time-sensitive tasks. Basic understanding of financial reports and metrics. Qualifications Five or more (5+) years of administrative services experience with management responsibility. High school diploma or equivalent GED required. Associate's degree in office administration or related field preferred. Familiarity with MS Office Suite (Word, Excel, PowerPoint, Outlook) preferred. Satisfactory driving record as determined by the Company and a current, valid State driver's license. Physical Demands and Working Environment Primarily indoor professional office environment which may include bright/dim light, noise, fumes, odors, and traffic. Mobility around an office environment. Frequent and prolonged use of standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. Occasional lifting or carrying up to 20 pounds. Occasional pushing or pulling up to 20 pounds. Occasional reaching outward or above shoulder. Salary and eligible variable compensation (if any) commensurate with experience.
