Job Overview The Office Manager II oversees and manages the day-to-day operations of the office, serving as a strategic partner in ensuring operational efficiency and compliance. This office accommodates several C-Suite and senior executives, including the company President. This position is responsible for developing and implementing office policies, vendor management, procurement strategies, and security protocols, while exercising independent judgment in decision-making and recommending improvements that support business goals. Work Model: Onsite/In-Office Responsibilities Essential Duties & Job Functions: Manages office projects or tasks with minimal oversight, setting priorities and determining the best approach to achieve objectives, either independently or as part of a team. Develops and implements office policies, procedures, and workflows to improve operational efficiency. Oversees the office budget, including forecasting, analyzing expenses, recommending cost-saving initiatives, and preparing financial reports for leadership. Identifies and addresses office suite maintenance needs, coordinating with vendors for timely repairs and updates. Proactively identifies risks related to facilities or equipment and recommends solutions to mitigate potential issues. Serves as the primary liaison between the organization and external service providers, ensuring quality standards and cost-effectiveness. Supports Reston office staff by completing various routine and non-routine tasks, such as processing travel requests, expense reports, and timesheets. Manages and orders office supplies to maintain operational efficiency. May serve as the recording Secretary for various meetings, as needed. Provides support to strategic planning and business development activities, as required. Job Requirements Mandatory: Bachelor’s degree in business administration or a related field, or 10 years of relevant professional experience in lieu of a degree. At least 5 years of experience in office or facilities management with strategic oversight and decision-making responsibilities. Experience supporting and interacting with senior corporate executives. Proficiency in office productivity software (e.g., Microsoft Office Suite) and familiarity with modern office management tools. Strong communication skills (written, verbal, and presentation) with the ability to collaborate and influence stakeholders. Expertise in office policies, workflows, procurement, vendor management, and contract compliance. Proven ability to manage budgets, analyze expenses, and prepare financial reports. Exceptional organizational, project management, and problem-solving skills to handle multiple priorities effectively. Discretion, confidentiality, and independent decision-making in handling sensitive matters. Familiarity with security protocols, including access control and secure facility operations. May require occasional travel to support business operations, vendor coordination, or site visits.
