About the position:
Seeking an exceptional individual to join our highly energized administrative team as an Office Services Specialist. In addition to excellent communication and personal skills, the ideal candidate will demonstrate an ability to roll up their sleeves and perform all responsibilities needed to maintain ADM’s Global Headquarters standards while servicing and providing office support to a wide and varied groups and departments. This is a highly visible role, therefore exemplary professionalism and comfortability interacting with all levels of employees (including C-suite executives), in a fast-paced environment, is required. This position is located at our Global Headquarters in downtown Chicago.


Specific responsibilities include:Provide welcoming reception to visitors and guests and notify appropriate parties of guest arrival in a timely manner. Register guests with the building security system as needed.Shipping and receiving: receive and distribute incoming mail and parcels to staff; ensure outbound FedEx and UPS packages are placed at drop off centers nightly.Secure operating floors.  Limit access to secured areas to colleagues and registered guests.  Proactively review multiple conference room, and guest space calendars to anticipate scheduling needs and mitigate potential overbooking.Provide meeting support to non-Global Headquarters colleagues, as needed, including managing food and beverage, catering deliveries, guest registration, and other administrative support.Stage and clean up beverage and catering service in conference rooms, as needed.Able to work a flex schedule to set up and manage early and late meetings, including an occasional weekend.Maintain office common spaces for 3 floors by performing daily rounds: ensure pantries and beverage coolers are fully stocked; printers have back up paper; water coolers have backup stock. Additionally, maintain stock levels for all pantries per established par levels. Manage inventory and ordering for pantry back stock per established par levels; and maintain adequate levels of office supplies and order as needed.Ensure that all conference rooms are stocked/tidied up after meetings, maintain commercial prep kitchen and storage closets organized.Complete special projects for management as needed (ie. prepare workstations for new colleagues; reset workstations, etc.)
Skills & experience required:Associate Degree preferred3 -5 years of related experience.Strong knowledge of MS Office, including Outlook, Word, Excel, and Power Point.Ability to effectively communicate and collaborate with diverse personalities in all levels of management, with professionalism and maturity.Highly customer focused; service mindset.Good interpersonal, organizational, communication and problem-solving skills are required. Must be hands-on and be willing to roll up their sleeves to perform all responsibilities needed to ensure success.Must be able to lift 40 lbs.
