This position is general support for the Department of Neurology, which consists of six Divisions and six Sections which encompasses the spectrum of OHSU’s missions of scientific research, comprehensive clinic care, and education of professional and patient populations, with the ultimate goal of improving patient outcomes.
Function/Duties of PositionThe Office Specialist provides essential support to faculty and staff in order to promote and maintain the success of the program missions. Primary duties include the following:
Main point of public and OHSU contact for non-patient care items, such as lay and professional educational events, general admin duties, and resource questions.Assist with projects as assigned by Neurology leaders including organizing and purchasing supplies, and prepping and processing payments and reimbursements, ordering keys, lab coats, business cards.Network contact – IT Contact liaison between team and central IT services providing light troubleshooting and AV support.Conference room/meeting and reservation support: main point for conference room or other OHSU meeting space reservations, send meeting notifications and maintain updated list of emails for each notification group, assist with complex scheduling and itinerary development needs for large meetings, candidate interviews, or visiting faculty, order and set up catering deliveries, resolve catering issues, clean up room, maintain equipment and cleanliness of room.Office space coordination support and maintenance.Assist with educational outreach tasks and events, including registering and answering questions from callers, and event support of virtual, live and hybrid programs to include mailings, flyer and packet creation and copying, setting up and tearing down event, and staffing outreach tables.Administrative support for Division Head including calendar management, scheduling, and other administrative tasks as needed.Attendance of staff meetings, team meetings, and office events as appropriate.Professional growth and development – attending classes that further job related skills and knowledge.

Required Qualifications One year of general office or secretarial experience, AND An Associate’s degree or certificate in office occupations or office technology; OR A Bachelor’s degree and six months of general office or secretarial experience; OR an equivalent combination of training and experience.Basic skills in MS Word, Excel and PowerPointDetail-orientedAble to prioritize work tasksStrong written and verbal communication skills Preferred Qualifications Experience working in a medical office settingExperience using EpicExperience using graphic design softwareAdditional Details Typical schedule: M-F, 8:00am – 4:30pm, Work schedule may vary depending on job requirementsTravel between meeting locations including using the Portland Aerial TramWork location is primarily remote, but may have occassional onsite needsMay have regular exposure to noise and interruptions
Must be able to lift, push and pull 30+ pounds, able to crouch and kneel, able to sit or stand and use a computer, mouse, and keyboard for long periods of time, and walk to various offices around campus as needed.
