Responsibilities Performs administrative work primarily for the engineering, facilities, and security departments. Supports the Director, Associate Director, Managers, and staff as needed. Troubleshoots problems and non-routine situations by determining the proper action to take through interpretation of protocols, policies, and practices. Continuous communication with high-level administrative offices to arrange professional meeting appointments requiring use of business vocabulary, tact, discretion and judgment. Work with Canyon Ranch Living homeowners on request, as needed. Support: Provides Administrative support to the Director/Manager and Asst. Managers; Manages the Director/Manager’s calendar. Reply to CRLiving emails and build link tasks. Operations: Performs general accounting duties: Generates purchase orders in NetSuite; Receives & submits reports and invoices to Accounting; Creates NetSuite check requests for invoices; Processes invoices for timely payment; Purchases & receives goods. General contract administration in Concord vendor request system/ set up new vendors in Concord vendor system. Communication: Coordinates with departmental colleagues and leadership and external units for scheduling appointments by phone, e-mail and in person for all departmental areas. Training: Assists with the onboarding and training of new colleagues in the area of administrative duties. Qualifications Associate degree OR two-year equivalent experience in administration support required - preferraly supporting a construction, engineering type organization. Position requires strong computer skills, including excel, software applications. Strong customer service approach. Actively demonstrates Canyon Ranch service standards and Ethos principles with staff and guests.
