POSITION SUMMARY:

The Officer, IT Planning, is responsible for providing quality support and assistance on administrative duties to ensure smooth running of the Macau IT offices and global IT Teams.

PRIMARY RESPONSIBILITIES:

Provide high-level professional secretarial and administrative support by preparing statistical reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings.Support secretarial role of VPsAssist in travel arrangementPerform general administrative duties as required, e.g. photocopying, facsimiles, filing and scanning etc.Review incoming correspondence; initiate replies as appropriate; route matters requiring action by other Departments and follow up to ensure actions are completed.Co-ordinate with the respective vendors and department in relation to paperwork, office equipment and sundries and set delivery according to usage.Manages the flow of correspondence and communication to the department, ensuring telephone and written correspondence requiring attention are prioritized, accurate and thorough.Coordinates and handles any ad hoc administrative duties as assigned  Maintain confidentiality of sensitive materials and project the Company’s professional reputationMonitor, track and follow up on documentation, case files or other assignments to ensure appropriate timelines are met and actions completedLiaise with other departments to maintain and promote efficiency in day-to-day operationsReceive calls and/or greet visitors, take and relay messages, respond to requests for information; provide information or direct caller/visitor to appropriate individualAssist in training enrollmentAct as IT representative in matters of Occupational Safety & HealthMonitor and keep stock of office supplies and place orders when necessaryPerform any other tasks and projects as assigned

QUALIFICATIONS:

Experience

Minimum of five years solid experience in similar capacityExperience in data inputting and filing system

Education

Degree / Diploma in Business Administration, Economics or equivalent

Skills / Competencies

Proficiency in the use of Microsoft Office including Word, Excel, PowerPoint, Outlook & Internet Explorer.Strong attention to detail and the ability to work accurately under pressureStrong problem solving, communication, time management and organizational skillsPossess a positive work attitude: committed, enthusiastic, outgoing, and helpful; be willing to learn, to participate and to assist othersPossess well groomed, professional appearance at all timesGood command of both Cantonese and English; must be able to type in Chinese and EnglishMust have visual acuity, good hearing for answering and placing calls
