Position Summary

The Administrative Officer is responsible for assisting management in the efficient management of administrative services of the Department.It is not limited to providing comprehensive administrative services which is including budget, financial management, general administration and human resources support. The Officer require to coordinate with various Business Units and stakeholders in order to maintain good relationship between them and works in an effective and efficient way.

Primary Responsibility Provides general administrative support to the management. Undertakes general administrative duties including: General word processing, takes dictation in shorthand or by machine, and transcribes information. Dealing with incoming and outgoing correspondence and other materials. Organize and coordinate meetings, conferences and travel arrangements. Minute taking for Board, team meetings and other meetings as required. Collation and distribution of minutes, reports and other documents. Procurement and inventory procedures and regulations, recording and processing of invoices, receipts and payments as required. Oversee maintenance of office equipment, order supplies Undertakes and assists in the annual budget planning. Maintains and precisely controls personal files, staff records, rosters and leave records. Provides clear guidance to assistants on daily routines and manage administrative workload control.  Develops and maintains effective working relationships across all business units. Setup and maintains the central filing system, general database and archive. Works with management and others to develop and implement operating policies and procedures. Manage databases and document processes and systems implement and Maintain filing systems in collaboration. Keep and maintain D&D library for update the record and handle the borrowing procedures with internal team mates. Requirements Secretarial and clerical experiences, financial and Engineering experiences is preferred. Good command of spoken and written English and Chinese. Possess good interpersonal and communications skills. Proficient in MS Office (Excel, Word, PowerPoint and Visio) and Chinese word processing. Ability to maintain confidentiality of financial and personal information. Good standing of academic records for the environmental or energy management study.
