Job Overview
The Team Assistant (TA) is responsible for supporting Principals including but not limited to calendar management, travel logistics & administration. This role requires support in Australia time zone.
Key Responsibilities
Calendar Management & Travel Arrangement
Maintain diaries for Oliver Wyman Principals and other key stakeholders, scheduling internal and external meetings, communicating with clients and internal Partners, Consultants and Support Professional colleaguesCoordinate complex travel including booking, flights, cars, rail tickets, hotels etc.Support visa applications when required.Develop understanding of Principal and key stakeholders’ scheduling and travelpreferences. Coordinate travel efficiently by grouping client meetings wherepossible ("you're in Melbourne to see XYZ Company, shall I try to set up a meetingwith X Company because we haven't spoken to them for three months")Business Development
Maintain and update current list of contacts and business activities in CRM databaseTrack and maintain sales activity/pipeline working with Executive AssistantsExecute requested follow-up calls for client mailings/marketing eventsDaily administrationManage documents: printing & binding in local office when requestedPreparation of timesheets for each assigned Principal or key stakeholderExpense support using iExpenseTeam Support
Provide coverage for Assistants who are out of the office to ensure seamless support to Principals/PartnersSupport broader office activities when required, helping with Happy Hours or other social activities as neededAdhoc
Willing to take on other adhoc duties, supporting the business and office. This may include but not limited to – arranging office supplies, organizing events, including Partner visits, client forums and lunchesExperience Required
At least two to three years’ experience at working in an administrative /TeamAssistant positionExperience in financial services, management consultancy and/or a professionalservices environment a plusDemonstrated high level of client service in an office or professional environmentSkills and Attributes
Fluency in English requiredProficiency working with Microsoft Office SuiteBasic knowledge of CRM (Microsoft Dynamics) a plusGood judgement & ownership mentalityEmpathetic, courteous, positive demeanorStrong organizational skills with demonstrated ability to prioritize and multiple taskAbility to work in fast-paced environment and be detail-orientedResourceful and proactiveStrong problem-solving skills and decision making capabilitiesSuperior written and verbal communication skillsGood time-management skillsTeam player who is able to work with different personalities and working styles
