On-Call Specialist (Healthcare)

GiaCare Inc. is now accepting applications for experienced, remote On-Call Specialists.

The On-Call Specialist coordinates staffing on a per-shift basis for multiple projects to cover hours when offices are closed which include weekday evenings/nights, weekends and holidays. Maintains customer open orders, generates employee availability and matches in numbers sufficient to meet the project and contract requirements.  On a timely basis maintains documentation of all staffing activity using a database, including but not limited to customer and employee cancellations, employee availability, shift fills/cancels and notes. Anticipates future shifts and plan of action to cover call outs. Completes reporting as required. Collaborates with Recruiting Manager, Project Staffing Coordinators, HR Specialist, Project Manager and others as required throughout the scheduling process to ensure targets are met or exceeded. Effectively works as part of the project teams to ensure a high degree of client and staff satisfaction. Maintains an optimistic and positive approach to the work and team members.

 

Job functions include managing the staffing responsibilities and documentation in systems that support any contract under any GiaCare Inc. venture.  This position will ensure the contractual obligations for fill-rates are met on an ongoing basis for all GiaCare contracts, excluding those in joint ventures. 

 

ESSENTIAL FUNCTIONS:

Conducts on call staffing for after-hours of the staffing offices on weeknights, weekends and holidays. Services multiple contracts nationally requiring on call support.Ensures adequate staffing throughout the contracts by effectively communicating with employees and customers to cover shifts cancelled or unfilled.  Follows the company on-call protocols, policies and procedures.  Uses all tools and resources available on a consistent basis to meet performance and contract requirements.  Documents in staffing system at least 2 attempts to contact all available staff, including call, text and e-mail to fill open shifts. Documents in staffing system all contact with customers to inform them of all cancelations by staff and all attempts to fill, including final disposition of shift.Communicates closely with corporate office staff, the customer staffing office or designee such as unit managers and Charge nurses and subcontractors to make effective staffing decisions.Fills open shifts by contacting employees according to established protocol and in sufficient number to meet project goals, contract requirements and performance expectations.Effectively uses database, on call lists and schedules to identify and contact employees to cover shifts.Documents all activity and employee contact in appropriate database, including but not limited to late starts, late calls, call outs, change of shift time, additional request and fills. Special attention given to customer requested overtime shifts.Greets visitors, callers, answers inquiries, and directs them to the appropriate person based on their needs. Communicates in a professional manner and communicates messages appropriately. Does not respond to inquiries beyond scope or knowledge.Communicates progress of staffing open shifts to customer in real-time.Communicates all activity to project team after each shift using appropriate database and reports.Maintain updated call-lists.Runs required reports from multiple databases.Proactively obtains employee availability.Uses company tools to guide reported employee incidents that occur during shifts.  Uses judgement to escalate any issue to management that is outside scope of duties. Assists with credential expirations as directed.Other duties as assigned.

 

QUALIFICATIONS:

One year of scheduling experience Experience with healthcare terminologyStrong follow-up, time management and organizational skills Flexible thinker with problem solving skillsAbility to deliver clear and comprehensive instructions, verbal or writtenAbility to deal with problems involving several concrete variables in standardized situations Intermediate knowledge of Microsoft Word and Excel Experience with databases or staffing systems is required Ability to work in a high performance teamGood communication skills both verbally and written
