Position Summary

The Onboarding Administrator is a crucial member of the Human Resources team in ensuring all candidates are cleared to start their first day on schedule while meeting compliance requirements, and documenting verification evidence for audits.  The position also ensures worker lifecycle events are accurately and promptly updated in Workday HCM and other systems in supporting the payroll and seamless service delivery to our clients, linguists and corporate workers.

Key Responsibilities

Guide and support new hires throughout the onboarding process, ensuring compliance requirements are met within deadlines.

Order, review, and adjudicate criminal background checks, drug tests, and government sanctions screenings.

Ensure documentation meets regulatory and client standards while maintaining the highest level of confidentiality.

Review and process I-9 documentation and eVerify to confirm employment eligibility.

Collaborate with Recruiting, Training, Testing, Payroll, Operations, and other stakeholders to ensure seamless onboarding and offboarding of workers.

Process personnel data changes, including hires, job transitions, terminations and other worker life cycle changes within the company.

Maintain accurate worker data across HR systems, including but not limited to Workday HCM, Salesforce, ADP etc.

Monitor, review, and troubleshoot integration logs to ensure data alignment across systems.

Review and test Workday HCM business processes, identifying opportunities for refinement and optimization.

Contribute to the creation and maintenance of Standard Operating Procedures (SOPs), instructional guides, and training materials to support and share team knowledge via SharePoint and other tools.

Engage in continuous learning to master system functionality and offer suggestions to process enhancements.

Approach challenges and interactions with empathy and demonstrate a willingness to support others during periods of change or high demand.

Collaborate with management to gather data, propose initiatives, and monitor the outcomes of such projects in areas such as Robotic Process Automation and workflow automation, etc.

Audit HR data and generate reports to support decision-making and compliance efforts.

Prepare and maintain evidence for internal and external compliance audits.

Support LLS’ Quality Management System (QMS) to continually improve the Division’s processes, procedures, and services; and thereby increase efficiency, productivity, effectiveness and customer satisfaction.

The minimum and maximum full-time hourly rate for this role is listed below. Please note that this salary information is solely for candidates hired to perform work within one of these locations. Experience and education refers to LanguageLine Solutions’ current salary range for this position. US CA Monterey Headquarters (On-Site) and US (Remote) pay rate is $22.00 USD.

Candidates hired to work in other locations will be subject to the pay range associated with that location, and the actual annualized salary amount offered to any candidate at the time of hire will be reflected solely in the candidate’s offer letter.

Qualifications and Skills

College degree or equivalent experience (minimum 2 years advanced education and 2 years of experience in HR, Project Management, Customer Service, or related fields).

Exceptional accuracy and attention to detail, ensuring all tasks are completed to a high standard.

Strong written and verbal skills, capable of conveying complex concepts clearly and effectively.

Demonstrated proficiency in MS Office Suite (Excel, Outlook, Word, PowerPoint, SharePoint, Teams etc).

Experience with Workday HCM, Salesforce, or other HRIS platforms.

Proven ability to manage multiple priorities and meet deadlines in a fast-paced environment.

Proactive and critical thinking skills with the ability to anticipate challenges and take the initiative to find solutions.

Flexibility and adaptability to frequent changes in priorities or processes.

Proven ability to work collaboratively in a team environment and building strong relationships.

Lean Six Sigma certification or similar process improvement experience.
