About the role

 

Work Location    : 1Powerhouse, PJ, Selangor (5mins walking distance from MRT Bandar Utama) Reporting Line    : Regional Onboarding Manager - APMEA and Europe Working Hours    : 2PM - 11PM

 

The Onboarding Executive - Europe will be responsible for managing the onboarding process for new hires across the Europe region. This role involves coordinating with various departments, ensuring a seamless and positive experience for new employees, and maintaining compliance with company policies and procedures.

 

Key responsibilities

 

Manage the end-to-end onboarding process for new hires across the Europe region within the agreed SLA and ensure a smooth onboarding experience for new hires. Onboard new hires in the HR system, ensuring all necessary information is accurately entered and updated. Maintain accurate records of onboarding activities and track the progress of new hires. Ensure all onboarding documentation is accurate and complete, and that the onboarding process complies with company policies and legal requirements. Monitor and evaluate the effectiveness of the onboarding process, gather feedback from new hires and hiring managers, and make improvements as needed. Serve as the primary point of contact for new employees during their onboarding period, addressing any questions or concerns. Provide feedback and support to new employees to help them succeed in their roles. Collaborate with hiring managers to ensure role clarity and alignment with organizational goals. Provide coaching and support to line managers in employee experience. Act as the first point of contact for onboarding queries, providing rapid and professional responses. Coordinate with HRBP, ICT, and other functions to ensure all necessary resources and support are provided to new employees. Foster and maintain relationships with key stakeholders internally and externally.

 

Qualifications and skills

 

•    Bachelor’s Degree in Human Resources, Business Administration, or a related field. 
•    Minimum 1 year of experience in a Proven experience in onboarding, HR, or a similar role.
•    Ability to work collaboratively with cross-functional teams.
•    Proficiency in HR software (e.g., SAP, Success Factor, Service now).

The key performance indicators (KPIs) for the Onboarding Executive - Europe role are designed to measure the effectiveness and efficiency of the onboarding process. Here are some of the critical KPIs for this role:

 

Time to Onboard: This KPI measures the average time taken to complete the onboarding process from the acceptance of the job offer to the new hire's first day. It helps in assessing the efficiency of the onboarding process. New Hire Satisfaction: This KPI is measured through surveys and feedback from new hires regarding their onboarding experience. High satisfaction scores reflect a positive onboarding experience. Completion Rate of Onboarding Tasks: This KPI measures the percentage of onboarding tasks completed on time. It ensures that all necessary steps are followed and completed within the designated timeframe. Compliance and Documentation Accuracy: This KPI tracks the accuracy and completeness of all onboarding documentation and compliance with company policies and legal requirements. Feedback from Hiring Managers & HRBPs: This KPI involves collecting feedback from hiring managers and HRBPs about the effectiveness of the onboarding process and the readiness of new hires to perform their roles.
