Onboarding Specialist

We are seeking a detail-oriented and highly reliable Onboarding Specialist to support critical stages of the talent acquisition lifecycle, including Intake, Onboarding, and Screening. This role serves as a key operational entry point and control function within the hiring process, ensuring accuracy, compliance, and timely execution of requests. The ideal candidate thrives in a structured, high-volume environment and demonstrates strong administrative discipline and communication skills.

Key Responsibilities:

Intake

Monitor and manage the Intake mailbox and respond to requests within established SLAs Process new order and intake requests with accurate and complete data entry in the KSN system Validate intake information for completeness, accuracy, and client-specific requirements Select and initiate the correct intake workflows and routing paths Maintain clear, audit-ready documentation and detailed system notes Identify and resolve missing or conflicting information before downstream processing Escalate exceptions, risks, or unclear requests as needed

Onboarding

Manage end-to-end onboarding activities from initiation through Day 1 readiness Process I-9s, forms, and required onboarding documentation accurately and timely Update onboarding, placement, and employment statuses in ATS systems Coordinate with candidates and internal stakeholders to resolve onboarding issues Ensure onboarding activities meet compliance, audit, and SLA requirements Maintain thorough and accurate documentation and system notes Identify and mitigate onboarding risks, errors, or delays

Screening

Initiate and manage background checks and drug screenings Assign correct screening packages, vendors, and workflows Monitor screening progress and follow up on pending or incomplete cases Review screening results and identify risks or discrepancies Update screening statuses and documentation accurately in ATS systems Escalate screening issues and compliance risks according to defined protocols Ensure adherence to quality, compliance, and turnaround standards

Required Qualifications

Exceptional attention to detail and commitment to data accuracy High reliability and strong attendance; consistently meets commitments Ability to follow structured processes and procedures without deviation Strong written and verbal communication skills, including calls, emails, and documentation Comfortable working in ATS platforms and multi-system environments Ability to meet SLAs in a high-volume, deadline-driven setting Sound judgment in identifying issues and escalating appropriately Maintains strict compliance, confidentiality, and audit-ready documentation
