Overview The Onboarding Specialist contributes to the mission of the Talent Acquisition Department by providing clerical and administrative support to the Recruiters and Associate Recruiters. Duties include processing job references, background checks, new hire paperwork, candidate and recruiter travel, onboarding coordination (i.e. scheduling occupational health appointments, new employee orientation and tracking the deferred hiring processes) and other related transactions. Serves as the onboarding liaison between the new hire, Talent Acquisition, Occupational Health and Human Resources Development departments. This position also provides direct customer service and assistance related to the talent acquisition process to both internal and external customers. This position will be responsible for coverage of multiple talent acquisition functions, and will also serve as a point of contact for select vendors and community contacts. The Onboarding Specialist assists with new hire processing and is responsible for a variety of onboarding functions (such as finalizing the employee file, I-9 and E-Verify processing and ID badge creation) to facilitate a seamless and efficient hire process into the organization and to ensure compliance with Shands policies and state and federal guidelines. The position provides support to members of the Talent Acquisition team, utilizing applicant tracking system and other computer systems/software for routine processes, and responding to inquiries regarding applicant and employee information and HR protocols. Qualifications Minimum Education and Experience Requirements: High School graduate or equivalent. 4 years of administrative experience in a Human Resource Department or 4 years progressively responsible administrative experience with independent project task management, completing work with very tight, defined time lines including interacting with the public. AA degree may be substituted for 2 years of experience. Must have strong customer service experience. Microsoft Word and Excel, ability to multi-task, problem-solve, work under stress, meet deadlines and work independently is essential. Applicant Tracking experience is highly desirable.
