We are looking for a highly organized and detail-oriented **Operations and Administration Specialist** to manage and enhance the day-to-day administrative and operational functions of our organization. This role ensures seamless operations, compliance with company policies, and efficient coordination across our Biopharma and Diagnostic divisions. The ideal candidate will have strong problem-solving skills, a proactive mindset, and the ability to manage multiple tasks effectively.
Key Responsibilities:
+ You will oversee the procurement of office supplies, equipment, and other administration needs, while maintaining vendor relationships and ensure timely delivery and cost-effectiveness.
+ You will be tasked with managing facility operations, including maintenance, service contracts, and workplace safety. You will also maintain accurate staff records and coordinate office services.
+ You will oversees and adminster the company e-invoicing system and be the liaison contact person with the local authority (LHDN) and point of contact with vendors and customers
+ You will ensure adherence to company policies, regulatory requirements, and health and safety standards, and help support internal audits and implement corrective actions when necessary.
+ You must be able to collaborate with various teams to streamline workflows and improve efficiency and provide support to the Operations and Administration Manager in special projects and initiatives.
**Qualifications:**
+ Bachelor's degree in business administration, operations management, or a related field.
+ 2-4 years of experience in operations, administration, or a similar role.
+ Proficiency in office software (e.g., Microsoft Office, ERP systems). Knowledge in SAP is a plus
+ Strong organizational and multitasking skills. Have an meticulous eye for details
+ Excellent communication and problem-solving abilities.
+ Knowledge of procurement processes, financial reporting, and compliance standards is an asset.
