Description

Maintains the project accounting system. Enters new projects, evaluates percent complete information for revenue recognition, prepares monthly billings, and assists in the proactive collection of accounts receivable. Builds partner relationships with Project Managers in all facets of project management

Essential Functions

• Ensures complete and accurate project setup including
   o Reviews project setup documentation submitted by Project Managers for accuracy and completeness
   o Reviews contract and proposals for billing terms and rate schedules
   o Inputs project budget and billing information into accounting system
   o Updates project records for changes in fees, multipliers, annual statutory overhead rate changes, etc.
   o Partners with Project Managers in development of bill rate schedules
• Ensures preparation and delivery of timely, accurate, and complete invoices to clients in accordance with contract terms on a project-by-project basis
• Maintains accurate job cost accounting information on a project-by-project basis, including all time and material charges, in accordance with man-hour and project expense budgets
• Supports and advises Operations related to collection of accounts receivables in coordination with Project Managers utilizing the accounts receivable collection tool for documentation
• Coordinates with Project Managers and clients to implement client/project-specific protocol and procedures for billing and collections
• Partners with Operations Accounting team members to monitor subconsultant contracts/invoices/budgets and works closely with Project Managers to achieve timely billing and payment
• Develops relationships with client accounting contacts to facilitate billing and collections, reconciling differences and advising Project Managers regarding findings
• Maintains electronic project files including contract agreements and invoices
• Reviews files and coordinates with Project Managers to obtain executed contract agreements
• Reviews posted project expenses for appropriate reimbursable/non-reimbursable treatment
• Partners with Project Managers regarding overall project needs and analysis
• Provides accurate project documentation for financial and project audits
• Completes Vendor Information Request documentation from clients •Coordinates Certificate of Insurance distribution for projects
• Prepares lien releases for projects
• Notarizes lien releases prepared by other Operations Accounting team members
• Assumes additional duties as directed

KNOWLEDGE, SKILL, AND ABILITY REQUIREMENTS:

KNOWLEDGE
• Proficient in Microsoft Office (i.e., Excel and Outlook) software
• Knowledge of cost accounting principles

MINIMUM QUALIFICATIONS:
• Accounting degree OR eight years of experience in the accounting system of a professional service company or similar organization
