Job Description

Aston Carter is partnering with a local industrial service company to find an organized and reliable Operations Administrator to join the administrative and accounting team in Spokane. The ideal candidate will efficiently manage projects and timelines, ensuring the field team can operate successfully. This role involves various administrative and accounting responsibilities, with opportunities for growth within the company.

ResponsibilitiesSet up new customers and determine contractual obligations.Regularly update payment status and aging reports.Follow up with customers and make collection calls, working directly with the owner.Set up accounts for Accounts Payable using QuickBooks.Match invoices with job IDs and send them out for approval.Manage prevailing wage requirements.Send out daily hours reports and ensure the accuracy of time entered.Assist with onboarding new hires, order supplies, and manage review timelines.Regularly update status and renewals for drug testing and training requirements (ISNET and Veriforce).Stay current with licensing and fuel tax requirements for the fleet (DOT and IFTA).Ensure every unit in the fleet is up to date with the correct documentation.Keep the office organized to ensure timelines and daily/weekly/monthly responsibilities are completed.Assist the business owner with calendaring and miscellaneous tasks.Field email inbox to ensure timely responses.Essential SkillsAdministrative support experience.Knowledge of accounts receivable and payable.Project coordination skills.Fleet management experience.Scheduling and coordinating abilities.Data entry proficiency.Understanding of DOT regulations.Experience with prevailing wage requirements.Proficiency in QuickBooks.Additional Skills & QualificationsExperience in Construction or a related field preferred.Computer literacy with the ability to learn new systems.Exposure to QuickBooks accounting software.Work Environment

This role operates Monday through Friday. The work environment is blue-collar and this individual will work with both operational and field teams. The position offers the flexibility to work from home as desired, with opportunities for growth within the company. The current General Manager grew from the fleet team, and the owner envisions this position potentially advancing into more advanced accounting or full project management roles.

Pay and Benefits

The pay range for this position is $22.00 - $28.00
