Job Title: Operations/Logistics Analyst
Job Description
The Operations/Logistics Analyst is responsible creating and managing complex schedules for 150 security guard staff members across multiple campus locations for a national healthcare systems organization. In addition to coordinating all aspects of staff schedules and timekeeping across various departments and units. This role involves delivering ongoing scheduling and timekeeping services, managing compliance, and providing administrative support.
Responsibilities
+ Utilize API system and MS Excel to manage staff members hours, shifts and schedules.
+ Manage complex calendars of staff members day/night shifts, schedules and hours to manage workforce and assist in workforce planning.
+ Utilize advanced Excel (pivot table/v-lookup) to perform data analysis, reconciliation, forecasting and reporting for various departments.
+ Develop and manage department/unit schedules, including regular needs assessments with department/unit leadership.
+ Manage timekeeping to ensure accurate data entry of staff activity per shift and run necessary reports.
+ Handle scheduling needs in accordance with leaves of absence (LOA, FMLA, or Worker’s Compensation) requirements and regulations.
+ Maintain daily review, updating, and data entry of personnel timecards through the electronic timekeeping system for accurate financial/payroll reporting.
+ Analyze and generate various reports for department/unit management teams for coaching, counseling, and disciplinary purposes.
+ Facilitate and coordinate scheduling processes to ensure appropriate staffing levels are achieved, maintained, and forecasted.
+ Plan, coordinate, and participate in varied and responsible work in the administration and operation of specialized programs or projects.
+ Provide project administrative support and technical assistance, including reconciliation, monitoring, report preparation, and preliminary analyses.
+ Manage and update position control and personnel skills data for forecasting staffing/scheduling needs.
+ Serve as a consultant to leadership in developing staffing patterns, creating flexible scheduling alternatives, and arranging for extended employee absence.
Essential Skills
+ 3-5+ years of relevant experience in schedule creation and maintenance, preferably in a healthcare setting.
+ Experience coordinating, planning and managing complex schedules for staff members.
+ Proficiency in Excel, including pivot tables and data analysis.
+ Experience in schedule management, planning, and coordination.
+ Logistics knowledge.
+ Previous staffing or scheduling experience preferred.
+ Knowledge of scheduling and timekeeping systems, policies, and procedures.
+ Strong organizational skills and attention to detail.
+ Ability to analyze data and generate reports.
+ Excellent communication and interpersonal skills.
+ Ability to work independently and as part of a team.
+ Data entry and administrative support experience.
Additional Skills & Qualifications
+ Experience with payroll and scheduling compliance.
+ Familiarity with agency/contingent worker onboarding.
+ Ability to interpret policies and procedures.
+ Understanding of wage and hour laws, and union contracts related to staffing, scheduling, and payroll.
Work Environment
This position is onsite and focuses on the Security Department, specifically for the officers. The role supports over 9 business units within the Facilities Infrastructure, Safety & Security division.
Pay and Benefits
The pay range for this position is $42.49 - $55.24/hr.
