What You Will Be Doing:

The Operations Assistant will play a critical role in supporting the daily functions of the operations team by performing administrative and logistical tasks, assisting with project management, and ensuring the smooth execution of operational processes. This role also includes serving as the Receptionist for our Headquarters, where you will create a welcoming and professional environment for clients, vendors, and visitors. As the face of our New York office, you will ensure seamless office operations while providing exceptional service to our internal teams and their guests. The ideal candidate is detailoriented, highly organized, and capable of multitasking in a fast-paced environment, with strong communication skills and the ability to collaborate across various departments to achieve company objectives.

Administrative Support: Provide comprehensive administrative assistance to the operations team, including scheduling meetings, managing calendars, preparing reports, and handling correspondence.

Reception and Client Services:

Professionally manage and transfer a high volume of incoming calls, ensuring efficient communication.Welcome and assist clients, vendors, and visitors, coordinating their visits with the appropriate staff members.Maintain the appearance and cleanliness of the reception area, conference rooms, and pantries to reflect a professional environment. Mail and Package Handling:Open, sort, and distribute checks and incoming correspondence promptly.Manage FedEx/UPS/messenger packages, including signing, tracking, and ensuring timely delivery. • Meeting and Event Coordination:Prepare refreshments for client meetings, ensuring a comfortable experience.Support the coordination of office events, including scheduling, logistics, and catering arrangements.

Supply and Inventory Management: Assist with ordering and maintaining office and pantry supplies,

ensuring stock levels meet office needs.

Travel and Office Logistics:

Coordinate travel itineraries and arrangements for staff, including booking flights, accommodations, and transportationAssist in managing office space logistics, telephone lists, security badges, and office keys.

Office Equipment and Services: Serve as a point of contact for office equipment, services, and operations issues, ensuring prompt resolution and minimal disruption.

Cross-Departmental Support: Provide general administrative support to Operations, HR, Recruitment, and Managers as needed, facilitating smooth office operations.

Process Improvement: Identify areas for operational efficiency and assist in developing and implementing process improvements to optimize workflow and reduce costs.

Team Collaboration: Work closely with other departments, including Finance, HR, and Sales, to align operations with overall company goals and objectives.

Special Projects: Participate in special projects and initiatives as assigned by the Operations Manager or senior leadership.

Who We Are Looking For:

Your experience includes:

Education: Bachelor’s degree in Business Administration, Operations Management, or a related field

preferred.

Experience: 2+ years of experience in an administrative or operations support role, preferably in a customer

service-oriented environment.

Skills:

Strong organizational and time-management skills.

Strong customer service orientation with a friendly and professional

demeanor.

Excellent written and verbal English communication skills.

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

Ability to work independently and as part of a team.

Problem-solving skills with a proactive approach to addressing challenges.

Attention to detail and accuracy in data entry and reporting.

Familiarity with booking travel and working with Travel Management

Companies (TMCs).

​Work Environment:

Location: On-site, 5 days per week.

Physical Demands: Ability to lift up to 25 pounds and stand or sit for extended

periods as required by the role.

Hours: Standard business hours, with occasional overtime as needed.
