The WelbeHealth Operations Assistant plays a pivotal role in ensuring smooth and efficient program operations. This position involves a wide range of operational and administrative duties that include but are not limited to, greeting and checking in participants, scheduling and calendar management, inventory ordering and management, on-site/in-home/telehealth participant support and event planning. Additionally, the Operations Assistant will support projects and communications as needed, supporting deliverable creation, deadline and timeline tracking and effectively act as the liaison between various departments and teammates ensuring work is progressing. Job Requirements: 

Complete all tasks and duties as assigned by Supervisor including but not limited to the bullets below: Provide operational and administrative support across key areas: Coordinate meetings and support scheduling needs (participant and/or internal Welbe staff) Collaborate with teammates to support projects and workstreams, ensuring timely completion of tasks Act as liaison for internal and external stakeholders, communicating effectively and professionally Support projects and communications as needed supporting deliverable creation, deadline and timeline tracking Attend, facilitate (when needed), take meeting minutes, and document action items for follow-up as needed Customer service and service recovery for participants and other partners as needed. Manage front door when needed/assigned ensuring visitors and participants are greeted, sign in and out, receive their badges and appropriate entrance screenings and do not elope. · Oversee all mail service, including distribution of incoming mail and packages and preparing outbound mail. Center Order Supply Management: Monitor and track current office supplies inventory and order supplies as needed. Other duties as assigned (ongoing project management, special projects, and support etc.)

 Requirements:

High school Diploma or Equivalency Associate’s/bachelor’s degree Preferred Minimum of two years’ experience as an administrative assistant. Highly motivated, self-directed, able to execute tasks in a quickly changing environment and make sound decisions in emergency situations, strong customer service orientation. Bilingual English/Spanish preferred. Excellent organizational and communication skills. Demonstrated technological skills with Microsoft Office – Outlook, Word, Excel, PPT.

Salary/Wage base range for this role is $22.65- $27.87 hourly + Bonus + Equity. WelbeHealth offers competitive total rewards package that includes, 401k match, healthcare coverage and a broad range of other benefits.  Actual pay will be adjusted based on experience and other qualifications.
