DescriptionThis is an opportunity for a driven and talented individual to make a real difference as part of a small, dedicated, and professional team.   The Operations Assistant will work on a range of matters providing administration services for LHFMJ, to support smooth running of the business in day-to-day activities. The Operation Assistant will assist the Operations Managers and Executive members of LHFMJ, in their day-to-day administrative and non-client related tasks and services. This role will be varied, and assistance will be required to support the Executive Directors and be able to provide support to the Operations Team when necessary.  

DutiesDuties  General Administration: \nData inputting\nPrinting, scanning, and filing documents\nCompletion of Ad Hoc tasks for the Directors\nAssist with specific bank relationships and ensure accuracy in set ups/amendments\nRespond to email and telephone queries as always requested (screening calls)\nDeal with incoming mail \nEnsure that a professional service is always provided\nAssist with administrative tasks for the including bank reconciliations and staff onboarding tasks\nAssist with any other ad hoc tasks as requested by Operations Managers\n
Systems/IT and Operations support\nUser system set ups including onboarding of new users and telephone set up\nSupport internal operational projects \nSupport on the delivery of weekly / monthly management reports\nSupport in the progression of several key projects, which may be specific to a jurisdiction or will have a Group focus\nSupport the business with projects requiring data collation in capturing the relevant / required data whilst ensuring minimal impact to the teams\nPlan, organise and manage own workload to ensure contribution to the overall process and to ensure that tasks are completed in a timely manner \n
Office & Facilities: \nSupport on required premises or facilities related projects within agreed timelines\nSupport on requirements for all office facilities related matters, including any matters relating to office stationery \nMeeting and room bookings\nIn addition to the duties listed above, the Operations Assistant may be requested to perform any other ad-hoc duties or projects as requested by the Management Team\n As part of your duties all employees must ensure adherence to internal policies and procedures and meeting all personal AML obligations. 

Person Specification
Qualifications:Educated to at least ‘A’ level standard or equivalent (grades A-C), and GCSE Mathematics and English (Grades A-C / 9-4), and a willingness to study towards a relevant professional qualification.
Skills and Experience:\nPrevious Administrative/Operations experience is desirable but not necessary \nThe candidate will be expected to be efficient in Outlook and confidently deal with routine emails, enquiries, and telephone calls\nThe candidate must have excellent communication skills with the ability to work within a team and work independently using their initiative \nHigh attention to detail and accuracy, with an ability to prioritise, multitask and meet deadlines\nStrong organisational and time management skills are essential\n
Technical Knowledge:Training on internal systems, controls and procedures will be given, however, it is essential that the job holder has proven computer literacy skills, in particular Outlook and Excel
