Operations Assistant (Grant Compliance)
Job Descriptions: POSITION SUMMARY Reporting to the Chief Operations Officer, the primary job duties of the Operations Assistant are to perform routine and complex administrative and data support as well as grant procurement for the HFSC Chief Operations Officer, with additional support to the Chief Operations Officer as requested. The incumbent will take lead on grant procurement as well as support grant compliance activities and grant reporting. Specific duties of the Operations Assistant may include, but are not limited to, performing the following duties with little or no direct supervision: Grant Procurement and Grant Reporting Duties + Coordinating grant procurement, this includes: + Conferring with purchasing authorities and other personnel to understand technical requirements of purchases + Researching vendors, obtaining quotes, and compiling detailed information for purchasing authorities to use to make an informed vendor decision + Ensuring procurement files are accurate and compliant with Federal and HFSC policies and procedures + Coordinating the drafting and execution of Requests for Proposals (both grant and non-grant) in collaboration with Chief Operations Officer. + Gathering and preparing data for grant progress reporting. + Coordinating documentation, approvals, and reimbursements for grant travel + Collaborate as needed on grant related matters with Chief Operations Officer and Grant Compliance Manager Administrative and Data Support Duties + Gathering and preparing operational data on a monthly and as needed basis + Assisting Chief Operations Officer with administrative tasks as assigned + Other duties as assigned. Required Experience: MINIMUM EDUCATIONAL REQUIREMENTS + Bachelor’s degree in a related field is required. + Directly related job experience may be considered as a substitute for college degree. MINIMUM EXPERIENCE REQUIREMENTS + 5 years of previous experience in an administrative role is required (a minimum of 3 years of grant experience included). + Demonstrated experience in procurement using federal grant funds. KNOWLEDGE AND SKILL REQUIREMENTS + Demonstrated skill in oral and written communication. + Ability to manage multiple projects with quick turnaround times simultaneously. + Excellent attention to detail, laser focus on quality, and ability to consider the big picture. + Demonstrated skills in listening, responsiveness, flexibility, initiative, decision-making, and conflict resolution. + Demonstrated proficiency in Office Suite products; specifically, advanced skills in Microsoft Excel.
