Role Overview

The Operations Associate at Indigo Research is pivotal in enhancing our educational impact by managing and recruiting top-tier mentors, ensuring operational efficiency, and coordinating mentor-student allocations. Reporting to the Head of Operations, this role requires a proactive and detail-oriented individual comfortable in a dynamic, cross-cultural environment. The ideal candidate will have a strong background in operations and recruitment, with a passion for improving educational outcomes.

Key ResponsibilitiesMentor Management & Recruitment (50%)

Identify current and future mentor shortages in specific disciplines.

Lead end-to-end recruitment efforts, including drafting job descriptions, posting roles, proactive sourcing, conducting interviews and sending offers and contracts.

Provide training and onboarding for mentors to ensure a seamless transition into the program.

Organise regular quality review meetings with mentors to discuss performance, share best practices, and drive continuous improvement.

Operational Support (40%)

Analyse workflows and recommend process improvements to enhance overall efficiency.

Assist in the implementation of new processes across the department.

Update and maintain people, performance, and workload monitoring tools.

Accurately and meticulously track student progress and results.

Mentor Allocations (10%)

Efficiently coordinate the allocation of students to mentors, considering fit, availability, and location.

Offer timely guidance, support, and updates to mentors and the internal team when addressing allocation issues.

Drive automation, process improvements, and simplifications to enhance allocation efficiency.


ExpectationsRequired Skills

Minimum of 2 years of office environment experience. Specific exposure to operations and recruitment is a strong plus.

Strong attention to detail and resourcefulness, with a proactive "can-do" attitude.

A high degree of empathy and comfort working in a cross-cultural environment.

Ability to receive and act on feedback promptly.

Sound judgment and a willingness to seek support when needed.

Resilience in working remotely and independently under pressure.

Proficiency in Google Suite (Docs, Sheets, G-Mail).

Excellent planning and organisational skills.

High student success rate with research paper completion.

Prompt allocations (within 2 days or less).

Absence of mentor shortages and unnecessary allocation delays.

High mentor retention rates and a supportive mentor community.

Professional and positive interactions with mentors and Indigo staff.

Proactive issue resolution to maintain service excellence.
