Operations/Budget Coordinator - Fire Department

As an Operations/Budget Coordinator for our Fire Department, you will monitor and participate in the financial reporting and data management of the department operations and capital projects budgets. The ideal candidate has at least three (3) years of related financial experience, is an expert in communication, and can easily learn new technology/software systems. About the Position If selected, you will process monthly internal billing, develop Smartsheet solutions, review budgeting practices, and provide process improvement recommendations. Fiscal Responsibilities: + Monitor programs & fiscal operations, ensuring budget expenditures are executed accurately. + Compile & analyze various fiscal statistical data and transactional information. + Update and monitor Spend Plan projections and budget requests. + Coordinate all procurement actions including supply orders, purchase requisitions, purchase orders, vendor accounts, and all invoices for payment. + Conduct research to identify optimal costs, repairs, maintenance rates, life cycles, and waiver opportunities. + Review/perform audits and monthly reconciliations, ensuring the correctness and verification of information; present recommendations to Fire Department management. + Evaluate procurement requests and CIP contract compliance and ensure proper payment applications & calculations. + Assist with Fire Department financial analysis and ad hoc reports, eGendas (including the origination, submission, and review), budget reviews/meetings, and annual budget process/updates in GovMax (including operating budgets and Capital Projects). + Complete monthly P-Card spending analysis for review. + Assess/maintain contracts to ensure conformity with laws & regulations; ensuring compliance with HIPAA laws, Federal/Florida Statutes, and other regulatory agencies and codes. + Provide guidance/training to various levels of the Fire Department and County personnel (as needed). + Review and recommend new technologies/processes to support the success of business operations. + May serve as backup to co-workers and higher-level employees. Data Management and IT Support: + Daily refresh of financial data supporting departmental spending plans and integrated system data. + Assist with blending data from various enterprise systems, including OneSolution, GovMax, OnBase, Maximo, Microsoft Office 365, and other APIs. + Develop Smartsheet solutions, and manage workspaces, including account management, data integrity, and ad hoc requests. + Support department staff and provide technical expertise related to various Software as a Service (SaaS) platforms like Smartsheet, Microsoft Teams, and Grammarly. + Complete requests for updating the public-facing and internal websites for the Fire Department. Other Business Administration Assignments: + Project management for special projects, as needed. + Coordinate expenditures with the Procurement team. + Assist with the coordination of quarterly Smartsheet User Group events. About the Schedule Work Hours: + Full-Time, 40 hours per week. + Monday - Friday, 8:00 a.m. to 5:00 p.m. (no weekends!) About You Minimum Qualifications: + Associate’s Degree from an accredited college or university -AND- Three (3) years of job-related experience. + -OR- Bachelor’s Degree from an accredited college or university in a job-related field -AND- One year of job-related experience. + -OR- Five (5) years of professional-related experience can be substituted for the degree at management’s discretion. + Valid Florida driver's license by date of hire. Preferred Qualifications: + Experience with Financial reporting, Power Query, M-Language, Power BI, DAX, and data visualization. + Familiarity with Software as a Service (SaaS) products like Smartsheet or others related to business operations or project management. + Comprehensive written and oral communication.
