What You Will Do:
We are currently searching for an Operations Coordinator. This role will independently provide support services to satisfy the overall operational objectives of the National Institute of Allergy and Infectious Diseases. The primary objective is to provide services and deliverables through performance of support services. This is a full-time opportunity located in Rockville, MD.

Prepare travel authorizations for staff, by preparing travel vouchers, travel orders, requests for travel advances, and other authorizations. This includes completing meeting and conference registrations for OCSO Staff. Track status of travel and other OCSO travel requests and deliverables, intervene as appropriate and notify staff of relevant updates.

Coordinate meeting planning and logistical arrangements, including room and audiovisual reservations, WebEx, and other remote connection arrangements; prepare and transmit agendas and relevant materials; contact and communicate with participants; prepare and distribute meeting minutes.

Assist the Administrative Officers (AOs) (and program manager as appropriate) in the formulation and development of budget estimates and reports, with emphasis on paying attention to details to assist with monitoring the use and rate of expenditures of Office budgets.

Produce a wide range of documents; address a variety of office needs which may include word processing, information management, report preparation, publications, information gathering, communication, etc.

Keep staff and internal/external stakeholders informed of pending issues, deadlines, and open action items involving OCSO. Serve as the Point of Contact between OCSO and other external stakeholders as requested.

Coordinate and process equipment and office supply order requests; serve as the point of contact in the administration of all maintenance contracts for office equipment.

Serve as a resource for staff regarding established policy; keep abreast of new guidance and policies; disseminate information to staff and respond to requests for information regarding status of projects or actions.

Prepare requisitions for purchase of office supplies and miscellaneous items; maintain office records including office procurements and reimbursement procedures.

Perform a variety of complex, specialized support tasks on an ongoing and ad hoc basis; manage special projects, draft letters and reports, prepare/edit presentations, develop meeting agendas and create and update spreadsheets and databases.

Design and coordinate systems for communications among staff to facilitate the efficient flow of information relating to projects and program activities.

Assist in the collection, compilation, and distribution of relevant scientific literature.

What You Will Need:

Bachelor’s degree OR Associate’s degree plus TWO (2) years of additional experience OR High School Diploma plus FOUR (4) years of additional experience in lieu of a Bachelor's Degree.

Experience with taking meeting minutes and/or summary reports.

Executive level support

Meeting coordination and/or scheduling/calendaring experience

Experience in travel planning.  

Proficient in SharePoint, Microsoft Office, and/or Concur.


What Would Be Nice To Have:

Experience working with National Institutes of Health (NIH) previously preferred.

The annual salary range for this position is $75,800.00-$113,600.00. Compensation decisions depend on a wide range of factors, including but not limited to skill sets, experience and training, security clearances, licensure and certifications, and other business and organizational needs.
