Position Description
Primary Purpose: This position provides general budgeting and administrative support to the director and regional field operations with particular emphasis on accounts payable. A key component of this position is to incorporate the Lawson system into the regional accounts payable process and to oversee budgeted versus actual expenditures.
Budgeting/Accounts Payable:
Initiates Major Maintenance job numbers and requests Capital job numbers as needed for region projects. Ensures corporate and regional authority limits and procedures are followed.Supports budget and spending for smaller region office-related capital or major maintenance projects and other region projects as assigned. Prepares cost projections, processes, and analyzes bids, oversees budget control and reporting, and reviews cash flow.Prepares and reviews cost tracking reports extracted from general ledger or other accounting reports monthly as well as upon request of Region Director or project manager. Researches, analyzes, recommends, and confirms corrections or changes to accounting entries on general ledger, CWIP and various reports.Researches and analyzes invoices or other charges as needed or upon request of Region Director or project manager. Makes recommendations and resolves discrepancies with vendors.Accounts Payable and Purchasing – knows local/company policy and ensures company policies and procedures for invoice processing, data entry, purchasing, and procurement cards are followed. Invoice approvals within expenditure authority as required.Coordinates and implements best purchasing/pricing practices.Print and distribute reports on a routine basis (weekly, monthly, etc.,)Create new vendors as needed by each region.Assist with employee’s expenses and submittal.Coordinates and completes annual and updated monthly budget forecasting for various business units and types of budgets. Creates and manages step increase payroll data files for all employees.Formulates and implements policies and procedures for the regional accounts payable process.Fleet Management:
Regional Fleet maintenance-vehicle purchases/disposal/transfers/annual registrations and monthly reports.Miscellaneous:
Assist in tracking regional training requirements.Act as liaison with KM Mobile Communications in the maintenance of pager/cell phone/air card/smart phones-tracking/monitoring/receiving data access payments due to KM.Coordinate staff additions, transfers, office moves, and changes, events, meetings, training classes, etc.Provides basic in-house computer software support and training such as Lawson and PAWS, as assigned.Maintains and balances regional working fund.Job level and pay commensurate with experience and skill set.

Education:
High school diploma or equivalent preferred.College degree preferred, but not required.Experience / specific knowledge:
Minimum 3 to 5 years general clerical experience with solid knowledge of general office procedures, including record maintenance systems, budgeting, and administrative practices.Excellent PC skills: knowledge and proficiency in Word, Excel, PowerPoint, Microsoft Outlook is required.A satisfactory driving record as determined by the Company and current, valid State driver’s license are required.Certifications, licenses, registrations:
