Operations Coordinator - Emergency Services
The Operations Coordinator for the Emergency Department provides administrative and logistical support to the Emergency Services department by managing staff scheduling for ED Nott St, Medical Center of Clifton Park Emergent Care, and Mohawk Harbor Urgent Care. Agency contract management for all of Ellis Medicine (non-physician). This position will also serve as the “right arm” to the Director of the Emergency Services including assisting with managerial matters of a confidential nature, frequently involving sensitive internal and/or external information. EDUCATION AND EXPERIENCE REQUIREMENT(S): + Associates degree required, Bachelors degree highly preferred. + Experience in a healthcare setting preferably an emergency department. + The ability to effectively interact with physicians, advanced practice providers (APPs), staff and hospital personnel. + Excellent communication skills, a positive attitude, good organizational skills and the ability to maintain both patient and staff confidentiality. + Skill in exercising initiative, judgment, problem-solving and decision-making, as well as working independently. PRIMARY RESPONSIBILITIES OF THE POSITION: + Responsible for multi-campus Emergency Dept. RN and support staff scheduling. + Coordinate with Managers on staff vacation scheduling. + Assists Director with ensuring ongoing maintenance of Occupational Health, HR, and Medical Staff Office requirements are met for all physicians and APPs on staff in the Emergency Department. + Maintains Outlook calendar for Department Director and Manager. + Responsible for, Agency invoice processing, payments, and maintaining spreadsheets for special contracts for the Emergency Department. + Coordinates departmental meetings and transcribes meeting minutes. + Maintains files and records. + Prepares and processes check requests, purchase orders, travel requests and travel reimbursements. + Oversees and coordinates projects within the department, communicates effectively with key stakeholders on project goals, tactics and timeliness. + Prepares correspondence and documents. + Provides other clerical and project duties when requested. PHYSICAL REQUIREMENTS: + Should be able to push/pull, lift/move 15 lb., be able to perform moderately difficult manual manipulations such as using a keyboard, writing, and filing for extended periods of time, must be able to perform tasks which require hand-eye coordination such as data entry, typing and using photo copiers. Mobility requirements may include the ability to be stationary at a workstation for a prolonged period time in addition to being able to squat or be mobile for a reasonable length of time and distance. Communication requirements include the ability to comprehend the spoken English language in addition to being able to communicate and read the English language. Salary Range: $24.75-366.53 /hour Pay is based on experience, skills, and education. Exempt positions under the Fair Labor Standards Act (FLSA) will be paid within the base salary equivalent of the stated hourly rates. The pay range may also vary within the stated range based on location.
