Responsible for managing, leading, and supporting the operations of assigned location(s) of Georgia Eye Partners. Coordinates activities within the location(s) to maintain an effective operating environment. In conjunction with Practice Administrator, Managing Partner(s), and Regional Director of Operations, is accountable for activities that will enhance operational efficiencies, improve patient satisfaction, and result in healthcare solutions that meet the mission of Georgia Eye Partners. The clinical operations manager helps evaluate company operations and makes suggestions for improvement while supporting the company performance targets and financial goals.
ResponsibilitiesOffice Management
Day-to-day management of operations for Georgia Eye Partners assigned location(s)Ensure efficiency and effectiveness of clinic and front desk processes.Triage IT requests and needs.Place/approve office supply orders, accurately sort mail, reconcile daily deposit information.Lead/participate in weekly office operations meetings.Aid with patient flow in clinic, moving and readjusting staff as needed for proper clinic coverage.Troubleshoot issues daily pertaining to patient care and scheduling; manage physician templates and schedules.Update daily huddle information and display for all to view.
Operations
Ensure compliance with policies, procedures, and regulatory guidelines; Make recommendations on changes to company policy and help develop, communicate, and implement any policy changes.Develop initiatives based on supported data and analytics to drive optimal clinical and surgical performance.Conduct patient flow and time studies to determine inefficiencies and develop plans for improvement and change.Establish & administer a maintenance program for all office and medical equipment for timely repairs and proper functioning.Establish & maintain an inventory system to ensure adequate levels of supplies and equipment.Observe and manage daily operations to ensure all offices and team members are providing quality patient care.Serve as liaison between doctors, administration, HR, vendors, and team leaders as needed.Help plan and attend clinical supervisor meetings, technician meetings, training meetings, and manager meetings.Oversees use of HER and PM software; identifies and recommends areas for improvement, including relationship management with vendor representatives.
Financial Operations
Ensure adherence to annual budget for medical and drug supplies.Monitor ordering habits and inventory of high price retail cosmetic and consumable products.Coordinate capital equipment purchases to align with approved budget for fiscal year; work with procurement team to order and install new equipment.
Human Resources
Monitor and adjust staffing based on weekly overtime for direct reports; approve time off requestsResponsible for onboarding of new front desk associates, clinical supervisors, and ophthalmic technician IV and V (“Lead Technicians”)Conduct new hire 90 day and annual performance reviews for all direct reports: liaising with Clinical Supervisor for all other clinical staff.Responsible for disciplinary actions and termination of employees in conjunction with HREvaluate employees as appropriate based on job duties and adherence to company policies and procedures. Provide feedback on an on-going bases and conduct timely annual employee performance reviews in partnership with the Practice Administrator, Regional Director, and Human ResourcesProvide performance feedback to practice administrator for annual reviews and holiday bonuses.Maintain staff training records: audit training records to ensure all evidence of training, certifications, licenses, and credentials are current.
Compliance
Responsible for all aspects of OSHA, to include documentation and trainingResponsible for clinic and office safety & continued staff training Qualifications High school Diploma or equivalent required, advanced degree preferred. Minimum of 3 years healthcare operations experience required.iJCAHPO certification required, COT preferred.Must be able to manage multiple tasks/projects simultaneously. Ability to adapt to frequent priority changes.Language skills: ability to clearly communicate thoughts and plans to clients, team members, and administration. Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedural manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees. Ability to hear and understand verbal feedback from clients.Computer skills: ability to use Windows based applicationsReasoning Ability: ability to apply common sense to understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.Professionalism: possess strong work ethic and high level of professionalism.Travel may be required to all Eugene B.
