The Operations Manager – Global Payments and Travel & Expense is a critical leadership role responsible for managing and optimizing the Accounts Payable (AP) Payment Process and the Travel & Expense (T&E) operations on a global scale. The role ensures efficient, accurate, and compliant execution of payment processes and expense management while driving operational excellence and enhancing employee satisfaction.

The ideal candidate will lead a global team, collaborate with internal and external stakeholders, and implement best practices to deliver high-quality financial operations and continuous process improvements.

Key Responsibilities:Accounts Payable Payment Process:Oversee the end-to-end global AP payment process, ensuring timely and accurate disbursement of payments to vendors and employees.Manage multiple payment methods (e.g., wire transfers, ACH, checks) across various currencies and geographies.Monitor payment cycles to meet SLAs and optimize working capital.Resolve escalations related to payment discrepancies, vendor inquiries, and bank-related issues.Collaborate with cross-functional teams (Procurement, Finance, and Treasury) to align payment processes with company policies and objectives.Travel & Expense (T&E) Management:Lead the global T&E operations to ensure efficient handling of employee reimbursements, corporate card programs, and travel expense claims.Establish and enforce T&E policies and guidelines, promoting compliance with company and regulatory requirements.Collaborate with travel providers and corporate card vendors to optimize travel programs and cost efficiencies.Drive automation and digitization of T&E processes to improve user experience and reduce administrative effort.Monitor and address escalations related to expense approvals, policy violations, or reimbursement delays.Team Leadership and Development:Manage and mentor a global team responsible for payments and T&E operations, fostering a culture of accountability and excellence.Define clear roles, responsibilities, and performance metrics for team members.Provide coaching and career development opportunities to enhance team capabilities.Process Optimization and Continuous Improvement:Identify and implement best practices to streamline payment and T&E workflows, reducing cycle times and enhancing accuracy.Leverage Lean principles and process improvement methodologies to address inefficiencies and eliminate waste.Collaborate with IT teams to deploy automation solutions, such as expense management software or payment platforms.Compliance and Risk Management:Ensure adherence to company policies, regulatory requirements, and internal controls in payment and T&E processes.Conduct periodic audits and implement corrective actions to mitigate risks and enhance process integrity.Monitor fraud prevention measures in payment and T&E operations.Performance Metrics and Reporting:Define and track KPIs for payment accuracy, processing times, expense compliance, and customer satisfaction.Prepare regular reports and dashboards for senior management, highlighting trends, risks, and improvement opportunities.Use data analytics to drive decision-making and measure the impact of process enhancements.Stakeholder Engagement:Act as the primary point of contact for internal stakeholders and external partners regarding payment and T&E matters.Collaborate with Procurement, Treasury, IT, and HR teams to ensure alignment and smooth operations.Build strong vendor and service provider relationships to resolve issues and negotiate service improvements.

 

Education: Bachelor’s degree in Finance, Accounting, Business Administration, or a related field.

5+ years of experience in Accounts Payable, Payments, Travel & Expense, or related functions, with at least 3-5 years in a leadership role.Proven experience in managing global operations and implementing process improvements.Familiarity with ERP systems (e.g., SAP, Oracle) and T&E tools (e.g., Concur,).

 

Skills:Strong leadership and team management capabilities.Expertise in global payment processes, multi-currency transactions, and expense management systems.Proficiency in data analysis, reporting tools, and KPI management.Excellent communication and stakeholder engagement skills.Strategic mindset with attention to detail and problem-solving abilities.
