Operations Manager - Neuroradiology Department
MISSION STATEMENT

SUMMARY

The primary purpose of the Operations Manager is to provide additional leadership as well as manage classified and research trainees in the Department of Neuroradiology, in the Division of Diagnostic Imaging. Implements institutional policy and procedures and adheres to department guidelines in the performance of duties. Coordinates all functional activities (clinical, research, educational and special projects) as directed by the Administrative Director and Department Administrator, in collaboration with the Chairs.

JOB SPECIFIC COMPETENCIES

Operations Management

· Interfaces with the information systems support group to resolve computer hardware and software problems.

· Processing CEMS/FARs for all department space needs, coordinates office moves as needed, etc.

· Under the direction of the Department Administrator and Chair, provides primary oversight for all department initiatives and projects that are either in response to institutional initiatives or initiated in the department (such as employee survey results team or website development and maintenance)

· Ensures assignments are completed within deadlines and departmental/division and institutional guidelines.

· Oversees all department space requirements and liaises with the division administration office in space planning.

· Initiates and completes special projects as assigned by Department Administrator Administrative Director, and/or Chair, within parameters and scope of position.

· Updates/maintains the department's policies and procedures.

· Attends various institutional meetings to assist in developing new and improved procedures for the department.

· Ensures quality and confidentially of records and the departmental staff comply with HIPPA and other privacy regulations.

Human Resources Management

· Manage the human resource processes within the department, including recruitment, selection, and performance evaluation of classified staff and research trainees.

· Responsible for the revision and creation of position descriptions for department personnel

· Manage the Extended leave process for the department.

· Manages day-to-day department operations in collaboration with department administrator, administrative director, and chair, including but not limited to weekly KRONOS sign-off and badge access.

· Establishes performance and productivity standards for administrative staff.

· Ensures all personnel's appropriate and efficient utilization, providing timely and ongoing performance feedback to maintain required department/division standards and achieve stated goals.

· Coaches and counsels employees and, when required, implement the disciplinary process following institutional guidelines.

· Provide input on recommendations for hiring, promotions, merit increases, and merit recognition awards, and when necessary, disciplinary actions fairly and consistently.

· Manage the administrative staff, including mentoring and training.

· Ensures all training and compliance requirements are completed within assigned deadlines.

· Manages the VISA process for the department.

Financial Management

· EPAF originator for all faculty and classified position requests

· Demonstrates a working knowledge of institutional and state guidelines for purchasing and travel.

· Department purchasing reviewer and approver.

· Works with financial and human resources departments to resolve funding, job level, or information issues.

· Holds signature authority and acts as the backup signature on accounts.

· Identifies and implements opportunities for cost reduction and expense control.

· Manages the department's account and Procard reconciliation process; works within institutional and divisional deadlines.

· Ensures compliance with institutional policies.

REQUIREMENTS

Education Required: Bachelor's degree in Business Administration, Hospital/Healthcare Administration or related field.
Preferred Education: bachelor's degree

Certification Required: None
Preferred Certification: None

Experience Required: Five years of experience in a professional/administrative capacity, including two years of experience in a supervisory capacity in an administrative field.

May substitute required education degree with additional years of equivalent experience on a one-to-one basis.

Successful completion of the LEADing Others program, Successful completion of the LEADing Self Accelerate may substitute for one year of required supervisory or management experience.
Preferred Experience: Strong accounting/financial background/HALS experience.

Must pass pre-employment skills test as required and administered by Human Resources.
