Operations Project Coordinator

The Operations project coordinator, reporting to the Plant Manager, is responsible for managing the day-to-day administrative tasks of various plant projects ensuring project goals are met on time and within scope and budget. The position will also organize project schedules, assign tasks, monitor progress, and communicate with cross-functional stakeholders. The Operations Project Coordinator will play a crucial role in keeping projects organized and moving smoothly by overseeing details like task allocation, schedule adherence, and documentation updates. Project Management • Assist in the planning, execution, and monitoring of projects within the operations department. • Coordinate project schedules, resources, and tasks across multiple teams. • Ensure that all project timelines, deliverables, and milestones are met. • Track project progress and make adjustments as necessary to ensure successful completion. Communication & Collaboration • Act as the main point of contact for all project-related communications. • Coordinate with internal departments (such as operations, logistics, engineering, finance, PMO, and IT) and external vendors or stakeholders to ensure smooth project execution. • Organize and facilitate regular meetings with stakeholders to update on project progress, discuss risks, and resolve issues, including agendas and action items. Documentation & Reporting • Documentation and record keeping - Maintaining project documentation, including meeting minutes, deliverables, and change orders. • Provide regular status reports to senior management, highlighting project achievements, risks, and opportunities for improvement. • Create and maintain project dashboards and performance metrics. Resource Allocation & Budget Management • Assist in resource planning, including team members, equipment, and materials. • Monitoring project expenses against the budget and identifying areas for cost optimization. • Audit support – support quality audits and customer visits Compliance and Quality Control: • Ensure project activities are compliant with company policies and relevant industry regulations. • Assist in maintaining quality standards throughout project execution. • Conduct quality checks to ensure that deliverables meet the required specifications. Process Improvement: • Evaluate operational workflows to identify areas for process improvements. • Suggest operational changes that could enhance efficiency and project outcomes. Basic Qualifications: Education • High school or GED equivalent required, bachelor’s degree in related field preferred. Experience • 1-3 years of previous experience in project coordination, operations, cost accounting, or a related field is required. GAAP and standard cost accounting experience in a manufacturing environment preferred. • Experience with LN ERP systems, Power BI, and Hyperion, preferred. • Background in lean manufacturing methodology and concept would be helpful. • Must have strong Excel skills (collect, organize, and manipulate large amounts of data, including proficiency with VLOOKUP’s and pivot tables.
