The Operations Specialist will provide support for the day-to-day operations of the Human Health and Performance Contract (HHPC) at NASA Johnson Space Center (JSC). The Operations Specialist will have primary responsibility for executing tasks associated with the onboarding and offboarding of HHPC personnel in accordance with KBR and NASA requirements and guidelines. In addition, the Operations Specialist will maintain offsite facility occupancy records and provide procurement services for HHPC office supplies.
RESPONSIBILITIES:
• Responsible for compliance with Safety, Health and Environmental plan; must be committed to a high standard of safety and comply with all applicable safety laws and all Company safety policies and rules; must report safety violations and potential safety violations to appropriate supervisory or management personnel.
• Responsible for compliance with the Quality Assurance Plan, policies and procedures.
• Complete all assigned training.
• Comply with all applicable KBR policies, procedures, and work instructions.
• Maintain confidentiality of all proprietary and personal information to which access has been granted.
• Positively represent HHPC and KBR at all times through a success-oriented and customer-service focused professional demeanor.
• Conduct onboarding tasks for all new hires on HHPC, following procedures defined by NASA/JSC, KBR and teammate companies.
• Conduct offboarding (termination) tasks for all new hires on HHPC, following procedures defined by NASA/JSC, KBR and teammate companies.
• Review Facility Change Requests for offsite HHPC facilities and conduct associated tasks, including security access changes, employee training verifications and workspace moves.
• Maintain accuracy of all facility occupancy records, including building floor plans and facility allocation documents.
• Conduct tasks associated with procurement of office supplies for HHPC personnel, including submission of purchase requisitions and maintenance of office supply inventory.
• Proactively identify and resolve issues associated with work responsibilities.
• Identify and implement process improvements as needed. Work with the HHPC Facility Manager and HHPC Facilities Team personnel to update existing work instructions to reflect improvements and create new work instructions where appropriate.
• Maintain knowledge and understanding of all applicable processes, procedures and work instructions, and adhere to them diligently.
• Maintain up-to-date knowledge of applicable requirements, standards, guidelines, technology trends and methods.
• Establish and maintain productive professional relationships with key customers, stakeholders, vendors and peers.
• Provide periodic written status reports of work activities to the HHPC Facility Manager.
• Ensure that all deliverables meet all applicable KBR and NASA quality standards.
• Perform additional duties as needed, which may occasionally require work on weekends and/or evenings, sometimes with little to no advance notice.
EDUCATION/EXPERIENCE
REQUIRED:
• High school diploma plus five years of experience in an administrative assistant role.
DESIRED:
• Previous experience with data entry and database maintenance.
• Previous experience in an administrative role in a facility management environment.
• Previous experience in an administrative role with NASA, or other Federal Government Agency.
SKILLS/TRAINING
REQUIRED:
• Exceptional customer service skills.
• Proficiency with written and verbal communication for confident and effective interaction with customers, employees and management.
• Proficiency with Microsoft Office Suite, primarily Excel, Word and PowerPoint.
• Proficiency with accurate data entry.
• Ability to multitask, prioritize, and manage time efficiently.
• Exceptional problem solving, analytical, and decision-making skills.
• Exceptional attention to detail.
• Strong organizational skills.
• Ability to work with limited administrative and technical supervision.
• Ability to multitask, prioritize, and manage time effectively.
• Ability and willingness to learn new skills, tools, and technologies.
DESIRED:
• Previous experience in an administrative role with NASA or NASA Contractor.
• Previous experience in an administrative role in an engineering/manufacturing environment.
