Operations Specialist
Job Description:Oversees day to day execution of warehouse-related projects, including but not limited to: re-numbering/re-ordering of warehouse bins and parts; closure/consolidation of warehouses; changes to preventative maintenance (PM) material processes; and updates to UFIT warehouse processes or services.
Serves as backup in all functional areas of the warehouses including purchasing, receiving, front counter/pick tickets, and fiscal office. Performs all warehouse purchasing duties for stock items in absence of the Purchasing Specialist. Acts as Warehouse Team Lead in absence of the Warehouse Manager. May assist with training new staff members.
Purchases all non-stock materials as requested and approved by Facilities Services departments. Reviews non-stock requests for completeness, acquires price quotes from vendors as needed, creates purchase requisitions in PeopleSoft and/or utilizes P-card to complete the purchase once quotes are received. Follows up with vendors and customers to ensure timely delivery of non-stock orders. Maintains records of non-stock orders.
Maintains all part and bin location data for warehouses in AiM. Ensures all part descriptions and photos in AiM Inventory are up to date. Ensures updated Material Safety Data Sheet (MSDS) for all relevant stock materials are uploaded into AiM.
Participates in periodic physical inventory counts to ensure accuracy of records versus actual physical counts and assists in resolving discrepancies.
Acts as approver/reconciler for all procurement card (P-Card) transactions initiated by warehouse staff.
Assists Warehouse Manager with documenting and periodically updating all warehouse-related standard operating procedures (SOPs).
Periodically operates a forklift to receive or move material within the warehouses. Also periodically operates a motor vehicle to provide delivery service of customer-requested materials to other locations or pick-up materials from various vendors as needed.
Work hours: Monday - Friday from 7:00 am to 3:30 pm
Occasional overtime as required by management
A criminal background and post-offer health assessment will be conducted.
Drives a state vehicle that requires a valid driver license.
Expected Salary:$51,000 - $54,000 yearly based on experience.
Minimum Requirements:Bachelor's degree in an appropriate area and two years of relevant experience; or an equivalent combination of education and experience.
Preferred Qualifications:EXPERIENCE:
- Direct experience in warehousing, material management, receiving, and procurement
- Customer service experience
KNOWLEDGE:
- Knowledge of building-related hardware and materials
- Knowledge of janitorial use items
- Knowledge of PeopleSoft, AiM, and MyUFMarket
- Knowledge of computer-based inventory management systems
- Knowledge of best practices in inventory management
- Knowledge of UF procurement policies
SKILLS:
- Proficient in the use of Microsoft Word, Excel, and PowerPoint
- Good verbal and written communication skills
