Order Management Coordinator

We are seeking a detail-oriented and customer-focused Order Management Coordinator to handle our international orders and support our global customer base. In this role, you will oversee the end-to-end processing of orders for international customers, ensuring accurate documentation, compliance with trade regulations, and timely fulfillment. The ideal candidate is organized, proactive, and has a strong understanding of international trade processes. **Key Responsibilities:** + **Order Processing & Management** : + Receive, review, and accurately enter international customer orders into the ERP system. + Monitor the progress of orders throughout the entire order lifecycle, ensuring timely fulfillment. + Communicate any order changes, delays, or updates to customers, keeping them informed and managing expectations. + **Documentation & Compliance** : + Prepare and maintain all required shipping documentation, including invoices, packing lists, and certificates of origin. + Ensure compliance with international trade regulations, including export control, customs documentation, and specific country requirements. + Coordinate with customs brokers and freight forwarders to ensure smooth customs clearance. + **Logistics & Shipping Coordination** : + Collaborate with logistics and shipping teams to arrange and track shipments, providing customers with updates on estimated delivery times. + Address any shipping issues, such as delays or lost shipments, and work to resolve them promptly with the relevant parties. + Documentation and Certification: + Issue Certificates of Origin (COO) + Create Legalized Invoices for export purposes. + Generate EXA/EUA/COA documents. + Sign export documents to finalize and authorize shipments. + Process and arrange regular orders/shipments (direct shipments, exhibitions etc) + Track export and intercompany shipments, including providing shipment status updates. + Confirm export exits to comply with export regulations. You have: + Preferably some experience within Supply Chain Management, International order management, Business, or a related field (or equivalent experience); + MBO level 3-4, through education or experience; + Experience with ERP/order management systems (e.g., M3) is strongly preferred; + Detail-Oriented: Strong attention to detail and organizational skills for managing international orders and documentation; + Communication: Good written and verbal communication skills in English and preferable in a second language; + Problem Solving: Understanding of customer priorities. Proposing occasionally the most appropriate solution following set guidelines and procedures; + Multitasking: Ability to manage multiple orders and priorities in a fast-paced environment; + Compliance Knowledge: Familiarity with international trade and export regulations; + Digital Proficiency in MS Office Suite (Excel, Word) and preferably some experience with ERP or order management systems.
