Position Overview:
This position assists the government client with the administration and personnel management of military/civilian overseas billets/travelers, training programs, new report orientations and administrative support services to the Executive Staff division.
Responsibilities:
Execute all overseas in bound and out bound administrative/personnel paperwork, to include both Permanent Change of Station [PCS] and Temporary Duty (TDY)Track annual and bi-annual Officer and Enlisted performance evaluationsCreate detailed listing of all entitlements members will receive by duty location, including those for housing allowances (BAH), cost of living, medical, transportation, and dependentsAssist with the scheduling, development, and management of pre-deployment training for members going overseas as required by the agency, Department of State, or Combatant CommanderFacilitate the processing of all military retirement and separation paperworkCreate and maintain HR/admin spreadsheet trackersRun semi-annual reports on required training and weigh-insConduct annual records validationTrack and process all personnel military award submissions/nominationsAssist with personnel records updatesConduct pay inquiries/finance supportServe as conduit between overseas member and Support Personnel Office (SPO) on all admin paperwork submissionsParticipate in conference calls with Coast Guard administrative support personnel abroadOrganize and coordinate an orientation program for new reports, including visits with counterparts at Department of State, Department of Defense, etc. and update the orientation program annuallyUtilize several USCG systems, to include Direct Access (DA), TPAX (travel claim system), and CGBICoordinate quarterly meeting between deployed personnel overseas and executive leadership statesideProvide administrative support to front office (Executive Staff divion)Brief Coast Guard leadership at weekly meetingsAssist with special projects as needed
Requirements:
U.S. CitizenActive Public TrustMust be able to pass a background ck and FBI fingerprint ck.Bachelors’ degree in related field preferred (International Relations, Finance, or Business), Direct experience may be substituted for degreeMinimum three years of experience with overseas “military” entitlements as per the JFTR and USCG Pay and Personnel Procedures ManualPrior experience working with the militaryExperience in personnel administration, training, and human resources related to USCG personnelSolid written and verbal communication skillsAbility to foster and maintain effective relationships with a variety of entities to aid in performing job duties.Ability to work independently and take action on assigned tasksAbility to adjust priorities quickly and work on multiple deadlines (daily, weekly, monthly yearly).Proficiency in MS Office Suite, especially Word and Excel
