Summary
The Paralegal reports to the Senior Director – Legal, EMEA & APAC and supports the EMEA and broader legal team. The position is responsible for a wide range of legal tasks, including reviewing simple legal documents, managing the Contracts Inbox, allocating workflow tasks to legal team members, overseeing corporate governance and entity management activities, handling collections, providing administrative support for employment matters and litigation, and performing other legal team tasks as they arise. The role also involves interfacing with other internal stakeholders.
Primary Duties and Responsibilities
Management of the legal inbox, including allocating requests and workflow tasks from our Contract Lifecycle. Management (CLM) and procurement (Coupa) systems to legal team members, triaging requests to other stakeholders, or provide a preliminary response as appropriate. Management of corporate projects, including tracking, coordination with multiple inside and outside stakeholders, follow-up and reporting. Corporate governance and entity management activities including relevant registrations, filings and signed documents. Under the supervision of qualified lawyers, organize and review legal documents. Management of the CLM and Coupa systems, including creating workflows, managing approval and signature processes, providing basic training to the business and troubleshooting issues. Support the legal team with administrative tasks in the areas of commercial transactions, commercial expansion projects, employment law and litigation. Maintain, track, and update the legal department’s budget, and work with other internal stakeholders to properly establish legal department POs and process invoices. Maintain, update, and track active global employment and commercial litigation matters. Work with People Operations and Accounting teams to ensure various employment related agreements are properly executed. Under the supervision of qualified lawyers, assist with drafting demand letters for collection matters. Assist with legal business transactions and logistics, including coordination of corporate insurance. Partner and coordinate with internal resources and outside vendor services. Handle additional projects as assigned.Required Education and Experience
Bachelor’s degree in law (LLB or BA), Graduate Diploma in Law, or other comparable qualification in paralegal studies. Detail-oriented with excellent verbal and written communication skills. Flexibility and ability to manage a schedule with competing priorities, including regarding off hours requests. Ability to work under time pressure independently, as well as part of a team. Familiarity with Docusign, contract lifecycle management systems, procurement platforms (Coupa), PO issuance/process, and online project management tools. Proficiency in MS Outlook and web-based conference call/web-sharing applications. Proficiency in MS Word and document editing/comparison applications; MS Excel and spreadsheet/database applications; MS PowerPoint and presentation applications.
Preferred Education and Experience
Previous paralegal experience, or equivalent with an in-house legal team. Familiarity with working internationally and in a fast-paced commercial environment. Ability to manage processes, directing stakeholders appropriately whilst remaining adaptable to different circumstances.Knowledge, Skills, and Abilities
Foundational legal knowledge, with a focus on Contract Law. Understanding of Corporate Governance and Entity Management. Time management, especially across multiple time zones. High degree of independence, initiative, judgement, and decisiveness. Ability to deliver results, both as an individual contributor and as a member of the global legal teams. Demonstrated ability to quickly digest complex information and informed decisions. Must be self-motivated with high energy. Strong analytical, attention-to-detail, and problem-solving skills.
